Role Overview

Our Group Coordinator plays a crucial role in ensuring the seamless execution of contracted group travel, serving as the bridge between our clients, vendors, and internal teams. This position is responsible for managing group contracts, overseeing communications, and ensuring data integrity, all with the goal of delivering an exceptional experience for our customers. This role impacts the overall customer experience, vendor relationships, and the company’s reputation for delivering seamless, high-quality travel services. As a Group Coordinator, you will play a key role in maintaining operational excellence and ensuring that clients feel confident and excited about their travel plans.

Data Management & Integrity 

  • Accurately input and maintain all group travel data in the Group Manager system, ensuring database integrity and compliance with internal processes.

 

Contract & Deadline Oversight

  • Manage hotel and airline contracts, ensuring that all deadlines and addendum requirements are met with precision.

 

Client & Vendor Communication

  • Serve as the primary point of contact for clients and vendors once contracts are signed and deposits are received, providing timely and professional support.

 

Quality Control & Compliance 

  • Ensure accuracy in reservations, ticketing, and contract terms while upholding Classic Vacations’ service standards.

 

Customer Satisfaction 

  • Proactively address and resolve any issues that arise, ensuring that each client has a stress-free and enjoyable group travel experience.

 

Process Improvement

  • Identify opportunities to streamline efficiencies in daily workload, interdepartmental operations, and external communications to enhance team performance and service quality.

 

Collaboration & Teamwork

  • Work closely with internal teams, including Sales and Operations, to ensure a smooth transition from contract to travel execution.

Qualifications & Skills

Experience & Knowledge

  • 2+ years of experience in group travel coordination or a related field preferred.

 

Technical Proficiency

  • Strong competency in Microsoft Excel, Word, Outlook, and internet research.

 

Attention to Detail

  • Ability to manage multiple contracts, deadlines, and customer requests with a high degree of accuracy.

 

Time Management & Organization

  • Strong ability to prioritize tasks, meet deadlines, and ensure efficiency in all group booking processes.

 

Communication Excellence

  • Exceptional verbal and written communication skills for effective client and vendor interactions.

 

Problem-Solving Ability

  • A proactive mindset to recognize system discrepancies and provide innovative solutions.

 

Team-Oriented Mindset

  • Commitment to fostering positive relationships with coworkers, management, and other departments to achieve collective goals.


Employment Terms & Benefits:

  • Work Schedule: Full-time, 40 hours per week, with virtual office work.
  • Compensation: Hourly wage with an annual merit increase based on individual performance and overall company success.
