General Description:
Under the direction of the Marketing & innovative solutions Director:
The Senior Administrative Assistant will be responsible for providing support to the local X-functional team of BeiGene in the country with specific dedication to the Marketing and Innovative solutions team.
Key focus on purchasing processes, contracting, vendor management, event support, team support, support in development of materials and local internal local /(external) communication assistance.
Essential Functions of the job:
General Administration
- Provide general administrative/project management support to the local X-functional team of BeiGene in the country with specific dedication to the Marketing and Innovative solutions team
- Support in organization of internal meetings and such with HCPs and partners, including catering
- Support in management relationships with vendors, service providers
- Vendor on-boarding, contract management and raising PO’s
- Support in management of local OPEX: raising PO and tracking of opex
- Assist in on-boarding plan for new hires within Commercial team
- Assistant support in cooperation with 3rd parties
- Conduct clerical duties, including filing, answering phone calls, responding to emails, and preparing documents
- Organize mail, couriers
- Assist with travel arrangements for the leadership as back up
- Any other duties as assigned
Business Support:
- Support in external live and digital events (congresses, workshops etc) in cooperation with local team and/or agencies
- Assistant support in cooperation with HCPs
- Support in preparation of commercial materials according to needs of team coordinated with Marketing Team.
- Support in internal material approval and documentation process
- Support in Congress and conference planning and administration
Compliance Data Collection:
- Support in Transfer of value data (ToV) collection, structuring and managing processes and regulations ie Support for compliance activities as local declaration/authorization, participation to legal review of agreements with healthcare professionals, hospitals, organizations, etc., participation to Personal data protection implementation
- Be familiar with the ABPI, IPHA, Farmaindustria codes as required knowledge (read and understood)
Education Required:
Relevant degree or professional training in business administration, advanced computer skills required.
Qualification Required:
- Minimum of 5 years’ experience assisting high level leaders; multiple disciplines a plus.
- Extensive experience in efficiently multi-tasking between business partners and priorities.
- Used to work in a dynamic and fast-changing environment.
- Experience in handling highly critical and confidential matters with the highest level of discretion and tenacity.
- Ability to take on increased responsibility as the company grows.
- Ability to independently work in an ambiguous yet fast-paced environment.
- Ability to work independently in a fast-paced environment with constantly changing priorities.
- Strong organizational and communication skills, team-oriented philosophy, and problem solving skills.

Travel:
Attendance at internal events and team meetings and possibly project-related meetings. Overall, the expected travel is below 10%.
