Do these values resonate with you? If the answer is yes, ClearSource is looking for an exceptional Virtual Assistant to join our dedicated team. You should be responsible for managing administrative tasks, coordinating business operations, and providing executive-level support. The ideal candidate is a highly motivated self-starter with excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
What you will do as a Virtual - Executive Assistant 1. Administrative & Executive Support
Manage executive calendars, schedule meetings, and coordinate appointments.
Handle email correspondence, prioritize messages, and respond on behalf of executives as needed.
Prepare reports, presentations, and business documents.
Organize and maintain digital files, records, and databases.
Arrange travel, including booking flights, accommodation, and creating itineraries.
2. Communication & Client Management
Act as a liaison between executives and internal/external stakeholders.
Handle client inquiries and provide professional customer support.
Draft, proofread, edit emails, letters, and other communications.
Manage CRM systems and track client interactions.
Coordinate with vendors, partners, and team members to ensure smooth operations.
3. Project Management & Coordination
Track and manage projects using tools like Asana, Trello, or ClickUp.
Ensure deadlines are met and coordinate between different departments.
Conduct research and compile reports to support decision-making.
Assist in planning company events, meetings, and initiatives.
4. Financial & Bookkeeping Support
Process invoices, track payments, and handle expense reporting.
Assist with budget tracking and financial reporting.
Manage reimbursements and vendor payments.
Coordinate with accounting teams as needed.
5. Social Media & Marketing Support
Manage social media accounts, schedule content, and engage with audiences.
Assist with content creation, including blog posts and newsletters.
Track social media and email marketing analytics.
Provide basic graphic design support using tools like Canva.
6. Human Resources & Recruitment Assistance
Assist with job postings and initial candidate screenings.
Schedule interviews and manage applicant tracking systems.
Process onboarding paperwork and maintain HR records.
Assist with employee benefits administration and payroll support.
7. Personal Assistance (For Executives/Entrepreneurs)
Manage personal appointments, reservations, and errands.
Handle online shopping, gift purchasing, and travel arrangements.
Assist with personal financial tracking and budgeting.
Coordinate household or family-related needs if required.
What ClearSource Needs from You
Associate or bachelor’s degree in business administration, communications, or a related field (preferred but not required).
2+ years of experience as an Executive Assistant, Virtual Assistant, or in a similar administrative role.
Must be willing to work onsite
