NSF is a globally recognized organization for public health standards. We conduct testing, auditing, and certification, supported by accredited labs. Additionally, we provide top-tier consulting and training for brands and businesses. Currently, NSF is seeking to add a Coordinator II for the ISR/Enterprise Solutions and Audit Delivery division to its expanding team. In this important role, you will be responsible for overseeing the scheduling and planning functions within the division. The ideal candidate will be detail-oriented and possess strong interpersonal skills, enabling them to effectively interface with customers and staff at all levels. We are looking for someone who can prioritize client onboarding and schedule audits 6-12 months in advance, as well as verify and monitor client expiry dates. Scheduling is a significant aspect of this role, so effective time management and prioritization skills are essential for success.
Responsibilities
- Provide administrative support for client onboarding and the scheduling of audits. This includes scheduling audits 30, 60, 90, and 120 days, as well as up to 12 months in advance
- Monitor client expiration dates and reach out to initiate the scheduling of upcoming audits and tasks, which includes planning for re-certification audits, surveillance audits, initial audits, verification audits and special audits
- Meet key performance indicators and turnaround times set by the department and Audit Schemes
- Communicate customer expectations to auditors regarding availability and special needs, while optimizing audit visit scheduling to ensure cost efficiency in travel expenses and identifying resource needs
- Maintain ongoing communication with clients and auditors to ensure necessary documentation (e.g., reports, print materials, assignments, scheduling, and certificates) is completed accurately and on time
- Stay updated on technical, regulatory, and market changes relevant to the function and across the company
- Implement and recommend ideas for continuous process improvement from both customer and business perspectives
- Serves as primary point of contact for auditors concerning their schedules
Qualifications
- A degree or diploma in business administration or a related discipline, or suitable combination of education and experience
- A minimum 2 years of experience in a fast-paced, customer service-oriented environment
- Demonstrated interpersonal and communication skills (both written and verbal) to effectively interact with multiple stakeholders
- Exceptional attention to detail
- Excellent multi-tasking abilities and strong organizational skills, with a proven track record of meeting deadlines consistently
- Proficient with Microsoft Office software, including Word, Excel, PowerPoint, and Outlook
- Knowledge of scheme requirements, accreditation requirements, and quality management systems is preferred
Preferred Qualifications
- Strong analytical and problem-solving skills
- Ability to adapt to changing priorities and work well under pressure
- Experience working in a high-volume scheduling environment
Salary Range: $40,000 - $52,000 USD
The total pay range takes into account a wide range of factors that are considered in making compensation decisions including, but not limited to, skills; experience and training; licensure and certifications; and other business and organizational needs. The disclosed pay range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At NSF, it is not typical for an individual to be hired at or near the top of the pay range for their role and compensation decisions are dependent on the facts and circumstances of each case.
