Job Description

We’re seeking an exceptional Senior Executive Assistant to become the right-hand support for our client’s top executive. This role goes far beyond traditional administrative duties – you’ll be a strategic partner, anticipating needs, streamlining processes, and driving efficiency across the organization. You’ll manage complex schedules, handle sensitive information, and act as a key liaison between the executive and both internal and external stakeholders. Responsibilities
  • Proactively manage the executive’s calendar, anticipating scheduling conflicts and prioritizing commitments
  • Implement and maintain robust organizational systems to enhance overall efficiency
  • Handle confidential information with the utmost discretion and professionalism
  • Manage and prioritize communications, including emails and phone calls, often acting autonomously
  • Assist in the implementation and management of new technologies, such as CRM systems
  • Prepare high-quality reports, presentations, and correspondence
  • Arrange complex travel itineraries and organize meetings, ensuring all details are meticulously handled
  • Act as a key point of contact, managing relationships with internal teams and external partners
  • Provide strategic support by breaking down the executive’s ideas into actionable plans
  • Continuously seek ways to improve processes and increase productivity

Requirements
  • Proven experience as an Executive Assistant to high-level executives in a fast-paced environment
  • Exceptional organizational skills with a talent for creating and maintaining efficient processes
  • Outstanding written and verbal communication abilities
  • High level of emotional intelligence and ability to remain composed under pressure
  • Tech-savvy with proficiency in various software tools and eagerness to learn new systems
  • Demonstrated ability to handle confidential information with integrity
  • Strong problem-solving skills and a proactive, solution-oriented mindset
  • Flexibility to adapt to changing priorities and complement different work styles
  • Experience in project management (preferred)
  • Basic design skills (nice to have)
  • Familiarity with accounting, finance, or merchant acquisitions (beneficial)
  • Assertiveness balanced with respectfulness and tact
  • Quick learning ability and enthusiasm for professional growth
