Job Title: Operations Coordinator
Location:
Remote (MST Time Zone)
Salary Range:
up to 2000 USD

Work Schedule:
Monday - Friday, 7:30 AM to 4:00 PM (MST)

About the Company:

Dedicated to delivering high-quality operational support for field services. Our team manages a wide range of field-related tasks, from contractor coordination to equipment monitoring, ensuring smooth operations across various locations.

Position Overview:


The Operations Coordinator will be responsible for overseeing field services operations, ensuring adherence to service agreements, and supporting contractors and technicians. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities:

Operational Coordination:

  • Provide initial orientation on service parameters, equipment, signage, and processing systems.
  • Monitor services to ensure contract compliance and respond to contractor inquiries.
  • Coordinate audits and manage temporary contractors.
  • Oversee and report on project progress and weekly work.


Communication and Support:

  • Respond to daily emails, phone calls, and voice messages.
  • Offer customer service support to both internal and external stakeholders.
  • Collaborate with Human Resources for field technician hiring, issues, and terminations.
  • Financial and Inventory Management
  • Review contractor invoices and authorize payments.
  • Manage supply orders for field technicians and ensure proper shipping coordination.
  • Review and submit invoicing data to bookkeeping for store-level reports.


Documentation and System Updates:

  • File, copy, and manage documentation as needed.
  • Update and maintain written job procedures annually.
  • Coordinate updates for equipment photos and unit binders.
  • Additional Responsibilities
  • Design work systems in coordination with staff and management.
  • Research and manage special projects as assigned.


Skills & Qualifications:

Required:

  • Proficiency in Microsoft Office Suite, QuickBooks, and database management.
  • Strong organizational and multitasking abilities.
  • Exceptional communication skills with a focus on responsiveness and professionalism.


Nice to Haves:

  • Background in field services, contractor management, or related operational roles.
  • Experience with designing and improving workflows and documentation.
  • Familiarity with Windows-based systems (Windows 10 or newer).
