JOB SUMMARY

This position requires high level attention to detail, excellent organizational, communication and administrative skills, comfort with learning and using a variety of technology and data management platforms, and ability to work well as a team member. In collaboration with Education and Training Center (ETC) team members, the Training Data Administrator will coordinate day-to-day activities required to present accredited continuing education programs to various health service audiences and provide overall administrative support to ETC trainers.

JOB SPECIFICATIONS

Responsibilities/Duties

  • Coordinate and monitor project timelines required in delivery of training programs, in collaboration with training staff
  • Perform data entry and record keeping related to training programs
  • Ensure accuracy in data collection and training attendance records
  • Support department staff members to assure compliance with all continuing education accreditation requirements for physician, nurse, social worker and other health professions education
  • Support training staff in all pre- and post-training requirements, including:
    • creating online event invitations via external partner Learning Management System and an internal Customer Relationship Management system
    • monitoring and maintaining training registration and attendance data
    • collecting training evaluation responses and compiling summaries
    • processing consultant faculty invoice payments
    • transferring and cleaning data among multiple platforms
  • Other administrative support duties as required
Qualifications

Education/Qualifications:

  • Associates degree or equivalent level of work experience
  • Three or more years relevant administrative work experience
  • Project coordination experience, ideally involving administration of continuing education and/or learning management systems
  • Demonstrated ability to learn and use a variety of technology and data management platforms

Skills:

  • Strong written and verbal communications skills
  • Skilled in Microsoft Office suite, Google Suite (g-mail, Google Calendar, Google Sheets, Google Drive, etc.), PowerPoint and Zoom
  • Interest in and ability to learn new software and data management programs quickly
  • Able to create and/or use project tracking systems
  • Highly organized and able to manage complex timetables, competing tasks and priorities
  • Able to work effectively and professionally in a fast-paced environment
  • Ability to work as part of a team, to prioritize and handle multiple tasks, and work independently
  • Ability to establish and maintain effective relationships with project partners and community collaborators
  • Sensitivity to and experience working with ethnically, culturally, and sexuality diverse individuals, communities, agencies and organizations

Work Environment:  Standard office setting with occasional local travel to off-site meetings/trainings.

Position Type and Work Schedule:  Non-exempt, full time position. Typical hours are Monday through Friday 8:30 am to 5:00 pm, with occasional evening or weekend events. Hybrid work-from-home schedule available with required 60% in- person work (6 out of every 10 days per pay period worked in-office).

Physical Demands:  Able to work at a computer keyboard for extended periods of time. Occasionally transports supplies and equipment weighing up to 15 pounds.
