Overview:
Providing our clients with exceptional service is the foundation of our business. In Billing, you will maximize Company profitability by creating accurate, timely invoices and adhering to subcontractor rates.
What you'll do:
- Adhere to all financial policies including COD, Bad Debt, Direct Costs, etc.
- Resolve all data discrepancies in Vision to ensure a timely delivery and payment of invoices
- Ensure that all necessary information is captured on invoices i.e. insurance claim information, special notes, etc.
- Process payment for vendors, reporters and all 1099s for all services performed in accordance with job specifications and negotiated subcontractor rates
- Produce client invoices accurately and in accordance with all Standing Orders, Vision notes and client specifications ensuring that all necessary information is included on invoice and delivered to the client/designated recipient on a timely basis
- Quality control Veritext generated invoices line-by-line to ensure accurate codes and rates are applied to maximize billing and profitability
- Question and resolve anomalies between Vision data and subcontractor invoices related to services, copies, rates, etc.
- Understand financial implications of vendor assignments as it relates to specific jobs and escalate to management when questions arise, low GP or another oddity
- Analyze client billing rates as necessary (i.e. upon client feedback or complaints) and make recommendations for changes to management
- Perform e-billing functions, to include but not limited to upload invoices, perform necessary follow-up, etc.
- Apply invoice credits and rebill as needed
- Research any vendor pay statement inquiries and address accordingly
- Generate, modify and authorize final vendor pay
- Enter special client/case/contact rates into Vision to ensure accurate invoicing
- Enter special vendor rates into Vision to ensure accurate payment for services
- Analyze and discuss monthly revenue/COGS performance
- Analyze data using all relevant tools and present solutions and ideas (i.e. billing reports)
- Maximize revenue and gross profit by analyzing invoices, trends, product/services, etc
- Perform regional/local pricing review and setting of new rates
- Provide financial reporting and ensure compliance with internal fiscal controls
- Understand Veritext targets and strive to meet and exceed
- Understand Veritext products and services and their value to clients
- Participate and absorb all trainings including Veritext University, Summer Camp, in-person development sessions, etc.
- Fully understand and utilize all Vision functions as they relate to your position and their impact on other functions, departments, myVeritext, reporter portal, etc.
- Be concise and accurate when entering/modifying profiles and case standing orders and notes into Vision; use Vision fields as intended
- Fulfill client requests timely (within 15 minutes) and take appropriate action
- Treat reporters and videographers as "key members of our team"; go out of your way for them
- Use Vision workflow to ensure all aspects of your activities are completed accurately and timely
- Resolves issues and escalate as needed to ensure prompt and accurate resolution; assist clients with various requests
- Perform other assigned tasks timely and professionally
- Ensure that departmental training materials are current, effective and utilized
- Analyze departmental performance and results; make suggestions for improvement
- Balance workload among staff; delegate work to team members
- Provide leadership, guidance and insight to colleagues
- Effectively manage the team by setting goals and metrics, monitoring performance and establishing operational improvements
- Ensure that payroll is entered accurately ADP/Payroll duties (i.e. approving time sheets, time off requests)
- Ensure your employees are engaged and growing, setting the stage for future
- Recruit, train, coach and develop staff to yield a high performing team
- Use all applicable tools (e.g., Vision, 8x8, email system, SFDC, etc.) to the fullest to perform managerial and analytical tasks
Who you are:
- 5+ years of relevant experience
- Proficiency in MS Office required
- Proficiency in relevant financial software packages and applications
- Must possess excellent written and verbal communication skills
- Customer service oriented with strong interpersonal skills
- Dedicated professional with the ability to respond to requests promptly and accurately
- Must be detail oriented, organized and be able to multi-task
- Proactive and motivated with strong problem solving and follow up skills
- Must possess excellent management skills with the proven ability to lead a team
- Work collaboratively with Veritext colleagues, exhibiting Veritext Values
- Ensure that all client (internal and external) and colleague communications are handled in a professional, timely and courteous manner
- Communicate necessary information timely and accurately to all parties, including clients, back office staff, sales and vendors
