Responsibilities of the Dispatcher/Customer Service Representative:

Your responsibilities include:

  • Dispatch Coordination:
    • Receive and process incoming service requests via phone, email, or online platforms in a timely and efficient manner
    • Prioritize and assign service tasks to the appropriate field technicians based on skillset, availability, and location
    • Continuously monitor job progress, update statuses, and ensure timely completion to maintain high customer satisfaction
    • Collaborate with technicians to provide essential details, ensuring they have the right information, materials, and tools for each assignment
    • Handle scheduling conflicts, urgent requests, and unforeseen changes to maintain a smooth and efficient workflow

  • Customer Communication:
    • Deliver excellent customer service by responding to inquiries, addressing concerns, and maintaining a professional and friendly approach.
    • Engage with tenants to understand service issues before dispatching technicians, troubleshooting where necessary
    • Keep customers informed on job statuses, estimated arrival times, and any delays to manage expectations effectively
    • Facilitate clear communication between customers and field technicians to ensure a seamless service experience

  • Administrative Coordination:
    • Maintain accurate and up-to-date records of service requests, job orders, and customer interactions in the system
    • Document key job details and technician updates to ensure proper tracking and accountability
    • Work closely with the accounting team to assist with invoicing, payment tracking, and billing processes
    • Process purchase orders (POs) and vendor invoices, ensuring timely and accurate payments
    • Coordinate with vendors for orders, payments, and service requirements to maintain smooth operations
    • Support inventory management by monitoring maintenance supplies and coordinating replenishment when necessary
    • Assist in preparing reports, analyzing data, and tracking key performance metrics as required by management

  • Scheduling & Logistics:
    • Optimize technician schedules to improve efficiency, reduce downtime, and enhance service delivery
    • Coordinate technician routes to minimize travel distances and streamline service operations
    • Manage appointment scheduling, rescheduling, and cancellations while prioritizing urgent requests when needed

Specifics:

Time

    • Full-time; We have three available shifts (listed below).
    • Schedules will be assigned on a first-come, first-served basis—the first hire gets the first choice!
      • 📅 Monday – Friday | 8:00 AM – 5:00 PM EST
      • 📅 Monday – Friday | 8:00 AM – 5:00 PM MST
      • 📅 Wednesday – Sunday | 8:00 AM – 5:00 PM EST
    • This is a remote position so you can have the freedom to work from anywhere
