Job description

As the Onboarding Specialist, you will play a pivotal role in delivering a seamless and exceptional onboarding experience for new properties joining our platform. Using HubSpot (CRM) and Guesty (PMS), this position combines technical expertise, meticulous attention to detail, and outstanding customer service to ensure properties are set up for success. As a key liaison between our clients and internal teams, the you will ensure each client’s unique needs are met while maintaining accuracy and efficiency throughout the process. This role is integral to creating a positive first impression and fostering strong, long-lasting client relationships.

Responsibilities

  • Manage the full onboarding process, including property data entry, configuration, and quality assurance. 
  • Ensure property details are accurately recorded and aligned with client specifications. 
  • Act as the primary contact for clients during onboarding, addressing inquiries and providing clear guidance. 
  • Train clients on system functionalities, ensuring they understand best practices for system use. 
  • Monitor and resolve data discrepancies or issues promptly to maintain accuracy. 
  • Collaborate with internal teams to streamline onboarding workflows and address client needs. 
  • Provide feedback and suggest improvements to optimize the onboarding process. 
  • Maintain up-to-date knowledge of systems and tools, including HubSpot and Guesty, to deliver effective support. 
  • Develop and share onboarding reports and updates with relevant stakeholders. 

Requirements

  • Two (2) years of experience in property management or customer service.
  • Familiarity with HubSpot (CRM) and Guesty (PMS) is a plus. 
  • Excellent attention to detail and organizational skills. 
  • Strong communication and customer service abilities. 
  • Ability to multitask and prioritize in a fast-paced environment. 
  • Proficiency with CRM/PMS systems and ability to quickly learn new software. 
  • Problem-solving skills with a proactive mindset.
  • Experience in onboarding preferred.
