  • Minimum 20 hours per week Flexible hours (preferably Mon-Fri), with the exception of bi-weekly payroll processing on Wednesdays - availability business hours AEST/ADET.

We are seeking a detail-oriented and highly organized Bookkeeper/Admin Assistant to join our growing team. In this role, you’ll be at the heart of our multi-clinic financial operations, managing a wide range of bookkeeping and administrative tasks. You’ll have the exciting opportunity to work with cutting-edge veterinary practices while honing your skills across various entities. Responsibilities
:

  • Manage a centralized email inbox, allocating financial information to appropriate clinic accounts
  • Process and allocate invoices from Hubdoc to respective Quickbooks files for each clinic
  • Perform bank and credit card statement reconciliations in Quickbooks
  • Match receipts to credit card expenses for multiple clinic managers
  • Input timesheet data into Quickbooks for payroll processing
  • Handle daily bank feed reconciliations in Quickbooks
  • Updating supplier details in Quickbooks to ensure correct details for auto payment processing
  • Assist Finance Manager with ad hoc tasks as required


Requirements

  • Proficiency in Quickbooks, particularly in managing multiple company files simultaneously
  • Experience with bookkeeping and financial data entry, with strong attention to detail
  • Familiarity with Hubdoc or similar invoice management systems
  • Knowledge of basic payroll processes and data entry for payroll purposes
  • Excellent organizational skills and ability to manage multiple tasks efficiently
  • Strong communication skills in English
  • Ability to work independently and remotely
  • Familiarity with Australian bookkeeping practices and tax requirements is a plus
  • Available fortnightly on a Wednesday for 6-8 hours for payroll processing during AEST/AEDT business hours
  • Manage financial data for multiple veterinary clinics across Australia
  • Work remotely, collaborating with clinic managers and financial leadership
  • Handle sensitive financial information with confidentiality and integrity
  • Adapt to growing business needs as the company expands from 11 to 13 clinics
