Job description

Position Available: Virtual Assistant - Bookkeeping & Operations (Hospitality)
Location: Remote (Sri Lanka-based)
Hours: Full-time; 5:30 AM - 1:30 PM IST (Colombo time)

Are you an organised and detail-oriented Virtual Assistant looking for an opportunity in the hospitality industry? We are seeking an Administration Support professional to join our hospitality services team, playing a crucial role in managing invoicing, scheduling, marketing, and client support.
 

Your Main Responsibilities & Experience:
Email Management & Client Queries:
You are an excellent communicator, able to handle client inquiries, confirm payments, and assist with appointment requests. You'll manage referral processes and ensure all technical queries are flagged for follow-up.
Phone Support:
You are efficient and professional when assisting clients with appointment scheduling and rescheduling. You’ll also notify staff of cancellations and manage specialist inquiries.
Appointment Scheduling:
You will schedule client appointments based on priority and availability and send SMS reminders using Jane Software.
Invoicing & Client Management:
You will assist with invoicing, using templates and managing overdue invoices through follow-up communication.
Familiarity with Xero for invoicing is an advantage.
Marketing & Content Creation:
You will assist with basic marketing tasks, including creating Canva marketing material to support client communications and promotions.
Experience with Mailchimp and email marketing is an advantage.

What Your Profile Will Look Like:
  • Must have - 1+ years of proven experience in a Virtual Assistant, administration, or client service role.
  • Must have - basic bookkeeping & accounting knowledge to assist with invoicing and financial processes.
  • Must have - strong communication skills: Fluent written and oral English is essential as you’ll communicate directly with clients and support coordinators.
  • Must have - accountability & attention to detail: Ability to multitask, prioritize, and work with minimal supervision, ensuring accuracy in documentation and processes.
  • Familiarity with Google Suite (Docs, Sheets, Calendar, etc.) is beneficial.
  • Being tech-savvy is a strong advantage to navigate different software platforms efficiently.
