We are seeking a dynamic and highly organized individual to join our team as a Business Administration Manager and Personal Assistant (PA). This dual-role position requires someone who is proactive, detail-oriented, and able to manage both the administrative operations of the business and assist senior leadership with personal and professional tasks.
The ideal candidate will demonstrate strong communication, time management, and multitasking skills, while maintaining confidentiality and discretion. The ideal candidate will also live in a commutable distance from Newmarket.
Business Administration Manager Responsibilities:
Oversee and manage daily operations of the businesses' administrative tasks, ensuring smooth workflow
Work closely with partnering company to improve efficiency
Manage marketing supplies and company equipment
Prepare and manage company documents, reports, presentations and correspondence
Coordinate with other departments to ensure effective communication and project execution
Handle financial administration tasks, including purchasing and expenses
Assist in planning and executing business meetings, events and conferences
Maintain and update business databases and files to ensure accuracy and compliance
Personal Assistant (PA) Responsibilities:
Provide high-level administrative support to the management team, including managing calendars, appointments and scheduling meetings
Handle personal errands and day-to-day tasks for Snr Management as needed, maintaining a high level of confidentiality
Screen and prioritize, emails and correspondence, ensuring timely responses
Organize travel arrangements, including flights, accommodations and itineraries
Coordinate events, dinners and personal engagements as required
Assist with preparing personal documents, reports and presentations
Maintain and update a personal filing system, ensuring organization and accessibility of important materials
Liaise with other personal staff or external service providers to facilitate smooth operations
Skills and Qualifications:
Proven experience in business administration or office management
Prior experience as a personal assistant or executive assistant preferred
Strong organizational and multi-tasking skills, with the ability to prioritize effectively
Exceptional communication skills, both written and verbal
High attention to detail and accuracy
Discretion and the ability to handle confidential information appropriately
Proficiency with office software – particularly spreadsheets
Ability to work independently and as part of a team in a fast-paced environment
Strong problem-solving skills and ability to adapt to changing circumstances
A flexible and proactive approach to work, with a positive attitude
Education and Experience:
3+ years of experience in business administration, office management, or executive assistance
Working Conditions:
Fully remote, working from home
Full-time, with flexibility required to manage both business and personal tasks
Occasional travel may be required
Some after-hours availability may be needed for time-sensitive tasks
