ABOUT THIS ROLE

Associations International is seeking a Credentialing Support Coordinator to join the International Coaching Federation (ICF) Credentialing and Standards team! In this role, you will be part of a specialized team dedicated to supporting a growing global community of professional coaches as they pursue, achieve, and maintain their ICF certifications.


The Credentialing Support Coordinator is responsible for the day-to-day administration of the ICF certification program, including providing detailed guidance and support to applicants and candidates, processing applications, and maintaining accurate records in the association management system (AMS) database. This role will also assist in developing new processes and identifying opportunities to improve efficiency and accuracy. Additionally, the Credentialing Support Coordinator will communicate with applicants, candidates, credential-holders, and volunteers worldwide.


This position reports to the Director of Operations for ICF Credentialing and Standards.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Support credential manager in the review and administration of credential applications, ensuring accuracy, quality standards and timeliness
  • Coordinate regular communications and correspondence with candidates throughout the credentialing process, providing clear and transparent information and status updates
  • Ensure clear, accurate information and guidance about ICF Credentialing is reflected on the ICF website and other online platforms. Update and maintain public information as appropriate
  • Maintain accurate records for all credential holders and candidates in association management system (AMS) database
  • Perform day-to-day data entry with accuracy and efficiency to support application review and administration
  • Provide support to applicants, credential-holders and volunteers via email, chat, and phone calls within a customer support platform with high level of professionalism, accuracy and completion, and in alignment with established service level agreement timelines
  • Propose ideas for continual improvement of the quality and efficiency of Credentialing operations
  • Run regular credentialing reports and monitor performance to identified credentials targeted goals and objectives
  • As needed, attend conferences, events, or other travel
  • Perform other duties as assigned
Requirements

QUALIFICATIONS AND SKILLS

  • An undergraduate degree or combined education or related experience and a minimum of three years’ experience
  • Experience in association or non-profit management
  • Strong verbal and written communication skills, and able to communicate effectively to a diverse audience
  • Demonstrated knowledge of project management
  • Demonstrated commitment to the highest level of ethical behavior
  • Prior experience with CRM or AMS databases is required
  • Understanding of systems and processes
  • Familiarity with basic quality assurance approaches
  • Strong analytical and critical thinking skills
  • Strong problem-solving skills
  • Desire to work in a team-oriented environment
  • Able to work accurately and efficiently with close attention to detail
  • Maintain confidentiality of sensitive information
  • Work effectively, professionally, and tactfully with AI’s workforce, team leaders, senior staff, volunteer groups and outside companies
  • Maintain a professional manner and attitude
  • Strong Microsoft Office software skills, particularly Outlook, Word and Excel
  • Excellent interpersonal skills to facilitate interaction with the workforce
  • Ability to work independently on multiple projects and deadlines in a fast-paced environment
  • Available to travel when needed
