The Senior Operations Specialist will perform a variety of specialized administrative and production tasks in support of test administration (online and paper) functions for all programs and support the management of ACT’s global test center network including State and District contracts.
Salary: The finalist will be hired at the salary and level commensurate with their qualifications. We anticipate offering a market competitive salary in the range of $16 to $19/hour. ACT manages salaries within the range based on relevant factors including, skills, experience, and internal equity. The position is not incentive eligible.
Location: This position is on-site at ACT Headquarters, Iowa City, IA.
A Day in the Life:
- Lead test administration business processes and tasks for one or more ACT products
- Collaborate with team members to develop and maintain documentation of internal process functions and job-related procedures
- Conduct quality control steps to ensure accuracy of output and materials
- Create and maintain documentation of internal processes and job-related procedures and work with team leads and management on coordination of team processes as needed to help ensure uniform application of policies, procedures and processing/delivery schedules
- Communicate and escalate issues and problems, with suggested solutions, to team and leaders
Role Progression:
- Within 1 month, you will have received training on processes and tasks for the current cycle of work and will have observed those in practice. You will have met with the individuals who you will interact and collaborate with most frequently to learn more about their work and the connection to this position.
- Within 3 months, you will be performing most of the standard processes and tasks, engaging frequently with colleagues for support as exceptions to processes when unique situations arise. You will be frequently asking questions and taking notes to help you learn and retain the information needed to perform the position responsibilities. You will also begin working from Cedar Rapids location.
- Within 6 months, you will have a solid understanding of the test administration processes, functions and tasks and performing the work independently, and will know when to ask questions as well as who to go to when seeking information. You will be will be experiencing the peak work period with exposure to the primary and most frequent life cycle of the responsibilities of the position.
About You:
- A minimum of 3 years of experience in an office, clerical, administrative, and/or customer service environment
- Excellent interpersonal, organizational, and communication/writing skills
- Demonstrated ability to be collaborative with customers, partners, vendors and with team members across the organization
- Ability to promote and provide excellent customer experience
- Skills with data collection and evaluation and data manipulation
- Ability to be self-directed and independently recognize and resolve issues
- Good time management skills and ability to prioritize work
- Ability to adapt to and be flexible working in a fast-paced environment with tight deadlines, while maintaining high quality in all aspects of work
- Ability to take the initiative to understand and use-changing systems, technology, and processes
- Experience working in a cross-functional team environment
- Ability to work on site in Iowa City, as well as travel to Cedar Rapids on an ongoing basis
- Fluency with office productivity technology required, preferably with Microsoft Office Excel, Word, Access and Outlook programs
- High school diploma required or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired
