This is a remote position.

Part-time (20 hours a week)

Monday -Thursday 10:30 AM - 3:30 PM  EST


We’re seeking a proactive and detail-oriented Outreach and Administrative Assistant to support a rising star in the professional speaking world. This multifaceted role combines strategic outreach efforts to secure high-profile speaking engagements with efficient management of day-to-day operations. You’ll play a crucial part in driving business growth by identifying and pursuing speaking opportunities while ensuring smooth administrative functioning. This position offers an exciting chance to work closely with an influential thought leader, helping to elevate their career and expand their impact in the industry.

Responsibilities
  • Spearhead research efforts to identify top-tier organizations and events for potential speaking engagements, aligning opportunities with the client’s expertise and target audience
  • Craft personalized, compelling outreach emails to secure bookings and partnerships, aiming to secure 2-3 new speaking opportunities or collaborations per month
  • Manage the client’s inbox with precision, prioritizing and responding to important communications within 24 hours
  • Coordinate and schedule 5-10 appointments per week, maintaining an organized and efficient calendar for the client
  • Handle financial paperwork and basic accounting tasks, ensuring timely and accurate processing of documents
  • Perform weekly updates and maintenance on the client’s Wix website, keeping content fresh and engaging
  • Manage various administrative tasks including document preparation, filing, and organization of both digital and physical materials
  • Prepare weekly progress reports on outreach efforts and administrative accomplishments, providing clear insights into productivity and results
Requirements
  • Proven experience in administrative support or a similar role, preferably in a fast-paced environment
  • Exceptional written and verbal communication skills, with the ability to craft persuasive and professional correspondence
  • Strong research capabilities and a strategic mindset for identifying valuable speaking opportunities and partnerships
  • Proficiency in email management and calendar scheduling tools, with a track record of maintaining efficient systems
  • Basic understanding of financial paperwork and processes, with attention to detail in handling sensitive information
  • Familiarity with website builders, particularly Wix, and ability to perform basic updates and maintenance
  • High level of organization and meticulous attention to detail, with the ability to manage multiple tasks simultaneously
  • Self-motivated with excellent time management skills and the ability to work independently
  • Proficiency in Microsoft Office suite or equivalent productivity tools
  • Bachelor’s degree in Business Administration, Communications, or related field preferred, but equivalent experience will be considered
  • Knowledge of the professional speaking industry and thought leadership landscape is a plus
