Job Description and Responsibilities

Our Operations team consists of high-performing professionals who specialize in handling investigative cases from cradle to grave for our clients. They have an abundant amount of knowledge and experience in case handling along with strong internal and external communication skills.

 

Standard hours for a Hybrid Operations Specialist are from 9:00 AM through 6:00 PM (based on individual time zone) Monday through Friday; however, these hours will fluctuate based on volume, workflow, and individual case circumstances. Flexibility in scheduling and workdays exceeding 9 hours are to be expected and should be planned for accordingly. The “end of day” is dictated by the final disposition of any hard due files, i.e. all hard due files must be in invoicing prior to departure.

·        Assist the team with daily departmental operations.

·        Demonstrates creative and strategic time management practices

·        Serve as liaison between the team, clients and operations.

·        Perform data entry efficiently.

·        Prepare and modify documents including correspondence, reports, drafts, memos, and emails

·        Reviews files, records, and obtains information to respond to requests.

·        Conducts due diligence regarding identifying the claimant and verifying the residence.

·        Provide general administrative and clerical support.

·        Handle sensitive and confidential material and information with discretion.

·        Communicate clearly, professionally, and effectively both verbally and in writing.

·        Conduct telephone calls with investigators, sales reps, and clients.

·        Collaborate with other departments (i.e. – traditional surveillance, IR).

·        Demonstrate a strong ability to work independently and as a team.

·        Be detail-oriented, organized, and strategic.

·        Be open and receptive to feedback.

·        Be adaptable. New clients are onboarded daily resulting in a constantly evolving workflow.

·        Review and adhere to ever-changing procedures to meet both client and organizational needs.

·        Utilize a case management system daily to organize and store information.

·        Record file communication, provide data, set deadlines, and prepare a final work product.

 

Responsibilities:

·        Manage investigative cases within a defined territory.

·        Review new files and request additional information or clarification for clients and sales reps.

·        Review and follow client specs and file objectives.

·        Send professional communications to internal and external parties.

·        Complete quality control related tasks.

·        Review the dashboard and take appropriate action when necessary.

·        Review and send daily client updates.

·        Audit set up reports, file information and billing to verify completion and accuracy.

·        Respond to internal and external communication regularly and within a timely manner

·        Ensure all case-related communications are added to the notes and marked appropriately

·        Check in and help teammates who may need assistance.

·        Review cases to ensure files are progressing appropriately.

·        Review and follow up on pending investigation files.

·        Assist with identification of investigation subjects.

·        Prepare and review videos and reports.

·        Research and verify information for thoroughness and accuracy.

·        Participate in continued meetings and training.

·        Assist with training new teammates

·        Provide feedback on training materials.

·        Assist team in gathering information needed for pending litigation.

·        Compile and review stats and data including department metrics.

·        Prepare reports and data analysis

·        Assist team members with other departmental tasks
