At Welltech, we are continually enhancing our HR Operations function to strengthen our partnership with the business, Talent Acquisition, and the broader HR teams. We also collaborate closely with various administrative teams to streamline our HR processes and deliver exceptional HR services. As we expand, we are looking for a dedicated HR Operations Specialist to join our dynamic HR Operations team, which spans multiple locations.
About the Role:
As an HR Operations Specialist, you will play a pivotal role in maintaining HR data, employees records, and overseeing HR administration activities (payroll inputs preparation, benefits administration, etc.). This role involves interaction with colleagues and managers from diverse backgrounds across multiple countries, making it a truly global and collaborative opportunity. While onboarding is not the primary focus, you may be involved in pre-boarding activities.
Key Responsibilities:
As an HR Operations Specialist, your primary responsibilities will encompass:
HRIS administration: Maintain accurate and up-to-date HR data within our HR system, ensuring data integrity, consistency and confidentiality. Processing requests for changes. Coordinate involvement of the local HR Operations team into relevant tasks. Ensure data categories are understood by the users. Control and grant presets in the HRIS.
HR Administration: Oversee various HR administration tasks from hire to separation, including drafting, completing, and organizing employees and contractors’ agreements and addendums for different locations, and other essential HR paperwork.Keep the up to date library of template documents. Implement measures to automate the processes.
Payroll administration: preparing monthly inputs for payroll calculations by local inhouse and external outsourced payroll providers (UK, Ukraine, remote employer of record locations) including changes to the base pay, variables and absence management.
Benefits administration: Administer benefits - both in kind and as a monetary reimbursement for multiple locations.
Operational onboarding: conduct the onboarding meeting for employees in the UK, explaining to them basic HR operational matters such as payroll calendar, absence policy, participation in the pension plan, etc.
HR Support and Advisory: Provide support and advice to the organization and main stakeholders, on matters related to hiring, separation, benefits, local regulations, payroll, absence policies, ensuring the HROps procedures are properly followed and paperwork completed and filed, keeping lines of communication open between HRBPs and the People Operations team.
Policies and procedures: Develop, update and maintain policies and procedures in the field of HR Operations for diverse audiences: Talent Acquisition, HRBP-s, managers as well as for the specialists themselves. Partner with the Legal Team/Lawyers on risk mitigation across employee life cycles that can have potential employment obligations. This includes review of policies, ER processes and procedures to align with latest best practices and changes in local laws.
Confluence Space Management: Design and administer our Confluence space, ensuring that HR operations policies and procedures are up-to-date and easily accessible to relevant audiences.
Manage Labour Authorities Inspections and external HR audits.

Qualifications:
To excel in this role, you should possess the following qualifications:
- 4+ years of experience in HR operations or a related field.
- Experience managing 4+ countries simultaneously is a big plus.
- Proficiency in HR systems and data management.
- Strong command of English (advanced).
- Comfortable with or willing to learn designing and administering Confluence spaces. - Comfortable using Slack, Google Docs, Excel and task management tools.
- Excellent organizational skills and attention to detail, structured logical thinking.
- Excellent communication skills to collaborate effectively with global teams.
- A proactive approach to process improvement and automation.
- Discretion, sensitivity, and confidentiality.
