About the role (What you'll be doing)

As a Leadership Support Team Manager, you will oversee a team of Leadership Support Specialists who provide comprehensive administrative services to senior leadership. These services include comprehensive executive assistance, travel coordination, mobility logistics, and more - ensuring that leaders can focus on strategic priorities and must-win-battles for the business. You'll ensure that all tasks are executed by the team efficiently and effectively, from handling day-to-day operational needs to facilitating high-level coordination across the organization. In addition, this role focuses on team development, ensuring executive assistants are well-trained, equipped, and aligned with the evolving needs of the leadership team.

What You’ll Be Doing
  • Manage and coach a team of 2-4 Senior Leadership Support Specialists, each with at least one more direct report.
  • Oversee the daily operations of the Leadership Support Team and act as a point of escalation for more complex queries regarding the team's services.
  • Build SOPs and frameworks from scratch, ensuring systems adapt to organizational growth and changes. This includes creating extensive documentation and developing structured processes.
  • Identify and act on opportunities for continuous improvement to increase the efficiency of the Leadership Support Team and optimize services by implementing innovations in processes, tooling, and the like.
  • Ensure the appropriate allocation of resources across the team to meet the needs of leadership while balancing workloads and priorities.
  • Actively gather feedback from stakeholders to improve the services offered.
About You 

Skills & Experience

  • A minimum of five (5) years of full-time executive support experience (excluding freelance roles without structured schedules).
  • At least one year of experience managing a team of 7-8 individuals, including at least 2-4 direct reports.
  • Demonstrated ability to handle multiple priorities and projects, and ensure the smooth coordination of executive-level logistics.
  • Strong critical thinking and problem-solving abilities to resolve issues quickly, often under tight deadlines or high-pressure situations; ability to manage changing priorities.
  • High level of detail orientation, professionalism, and capacity to manage stakeholders - particularly around highly sensitive or confidential concerns.
  • Proficient in Google Suite (Gmail, Calendar, Drive, Docs, Sheets, Forms, Slides), Slack, Notion, and other productivity tools. Comfortable adapting to new technologies and systems.
  • Excellent command of the English language, both written and spoken. You are an attentive listener and can interact with stakeholders effectively and concisely.

  • You are willing to work full-time (40 hours/week) in a hybrid set up during either APAC or EU business hours:
    • APAC Business Hours: 7:00AM - 4:00PM Manila Time
    • EU Business Hours: 1:00PM - 10:00PM Manila Time
  • You are located near or within Metro Manila, Philippines.
  • You have a suitable work-from-home setup (e.g., work desk, comfortable chair, proper lighting, quiet environment).
  • You have stable internet connection at home: 30 Mbps minimum.
