Job Description

We’re seeking a detail-oriented QuickBooks and Customer Relations Specialist to become an integral part of our fast-paced landscaping business. In this role, you’ll be the linchpin between our field operations and customer communications, transforming rough notes into polished proposals and managing our financial records. Your quick thinking and efficient work style will directly contribute to our competitive edge in the market. This position offers the perfect blend of financial management, customer service, and creative document preparation, all while enjoying the flexibility of remote work.

Responsibilities
  • Manage and update QuickBooks with precision, ensuring our financial records are always accurate and up-to-date
  • Rapidly respond to customer inquiries, distilling complex emails into actionable points for the business owner
  • Transform verbal descriptions and rough notes into professional, visually appealing estimates and proposals within 20-30 minutes
  • Handle all aspects of customer relations, maintaining a friendly and professional tone in all communications
  • Adapt to a dynamic workday, efficiently managing tasks as they arise throughout business hours
  • Create and maintain organized systems for tracking projects, customer information, and financial data
  • Assist with time-sensitive tasks, often working in short bursts to meet immediate business needs
  • Collaborate with the business owner to streamline processes and improve customer experience
Requirements
  • Proven proficiency in QuickBooks, with the ability to manage complex financial records
  • Excellent written and verbal communication skills in English, with the ability to craft professional documents quickly
  • Demonstrated ability to work flexibly throughout the day, responding rapidly to tasks as they arise
  • Strong organizational skills with a keen eye for detail and the ability to multitask effectively
  • Experience in creating professional documents, estimates, and proposals with a quick turnaround time
  • Comfort with working independently and managing time effectively in a remote environment
  • Ability to distill complex information into concise, actionable points
  • Proficiency in Microsoft Office suite or equivalent software for document creation
  • Availability during U.S. Eastern Time business hours, with flexibility for increased hours during busy seasons (spring/summer)
  • Minimum commitment of 20 hours per week, with the potential for additional hours as needed
  • Strong problem-solving skills and the ability to take initiative in improving processes
  • Previous experience in customer service or a related field is highly desirable
