Job description

We are seeking a highly organised and detail-oriented Operations Assistant to support our Operations Manager and ensure smooth day-to-day business operations. The ideal candidate will play a key role in payroll processing, tax reporting, data audits, customer support coordination, and assisting with projects. Additionally, proficiency in Adobe Suite (especially InDesign) is required to help maintain and audit product catalogs, marketing materials, and internal documentation.

Must Haves

  • Education: Bachelors degree in Business Administration, Finance, Operations Management, Graphic Design, or a related field (preferred but not required).
  • Experience: 1-3 years in an operations, finance, or administrative role.
  • Technical Skills: Proficiency in Adobe InDesign and Photoshop (experience in catalog management and graphic design is a plus).
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), payroll software, and CRM tools.
  • Strong Analytical Skills: Ability to process numerical data, run reports, and analyse trends.
  • Attention to Detail: High level of accuracy in financial calculations, data management, and design updates.
  • Excellent Communication: Ability to interact professionally with team members, vendors, and customers.
  • Problem-Solving: Ability to troubleshoot issues and offer practical solutions.
  • Multitasking: Capable of handling multiple responsibilities in a fast-paced work environment

Responsibilities

1. Payroll & Commissions Management

  • Process payroll for employees and ensure timely payments.
  • Calculate and distribute commission payouts based on company policies.
  • Maintain accurate payroll records and resolve discrepancies.

2. Tax Reporting & Compliance

  • Prepare and submit monthly tax reports to ensure compliance with local, state, and federal regulations.
  • Collaborate with the finance team to address any tax-related queries or adjustments.
  • Keep records organised for audit purposes.

3. Product & Catalog Audits (Adobe InDesign & Creative Suite)

  • Conduct routine audits of company products and catalogs to ensure accuracy.
  • Use Adobe InDesign to update product descriptions, pricing, and layouts as needed.
  • Assist the marketing team in ensuring branding and design consistency across catalogs and promotional materials.

4. Customer Service & Sales Support

  • Serve as a primary point of contact for customer service and sales personnel inquiries.
  • Assist with troubleshooting issues related to orders, product availability, and general operations.
  • Ensure prompt resolution of customer or internal team concerns.

5. Data & Records Management

  • Maintain accurate data records related to sales, customer transactions, and operational activities.
  • Regularly update databases and ensure data integrity.
  • Generate reports and insights to support operational decision-making.

6. Assisting with Quotes & Projects

  • Work closely with the Operations team to prepare quotes for products and services.
  • Assist in the execution of various projects, ensuring smooth coordination between departments.
  • Support in logistics planning and vendor communication for key operational projects.

Other Details

  • Job Timings: Night shift following US EST Time Zone (night shift)
  • Office location: Off to Shahrah-e-Faisal, PECHS, Karachi

Regarding the remote, the candidate will arrange a separate workspace and the required gadgets (Laptop-Corei5 6th generation minimum, noise cancelling headphones, webcam, power backup).
