About the Role

We are seeking a highly experienced and proactive Executive Assistant to provide comprehensive support to our Managing Director. This role requires a seasoned professional with a proven track record of managing complex schedules, projects, and administrative tasks with exceptional efficiency and discretion. You will be a trusted partner, ensuring smooth operations and contributing to the overall success of SMEVentures.

Responsibilities

    • Comprehensive Calendar Management: Manage and optimize a complex professional and personal calendar, proactively identifying and resolving scheduling conflicts.
    • Meeting and Travel Coordination: Plan and coordinate meetings, both virtual and in-person, including all logistics, preparation, and follow-up. Arrange detailed travel itineraries, including transportation, accommodation, and visa processing.
    • Project Management Support: Assist with project management tasks, including tracking deadlines, coordinating communications, preparing documentation, and maintaining comprehensive records.
    • Strategic Support: Conduct research, gather information, and prepare presentations to support the Managing Director's strategic decision-making. Act as a thought partner and sounding board, offering insights and perspectives to contribute to the company's success.
    • Administrative Support: Handle a wide range of administrative tasks, such as drafting correspondence, preparing presentations, managing expense reports, and organizing documents and records with efficiency and accuracy.
    • Lifestyle Management: Discreetly manage personal appointments, errands, and other tasks as needed.
    • Communication Liaison: Serve as a key point of contact, representing the Managing Director with professionalism and discretion in interactions with clients, investors, and other stakeholders. Build and maintain strong relationships with key contacts, ensuring effective communication and coordination.
    • Prioritization and "Second Brain" Role: Proactively anticipate needs, identify potential issues, and take initiative to find solutions. Act as a trusted advisor and "second brain" to the Managing Director, helping to prioritize tasks and activities effectively.
    • Research & Information Gathering: Conduct research and gather information on relevant topics and projects to support the Managing Director.

Requirements

    • Extensive Executive Assistant Experience: Minimum of 10 years of experience as an Executive Assistant supporting senior-level executives in a fast-paced, high-growth environment, preferably within a startup or finance setting.
    • Proven Track Record: A demonstrable history of success in managing complex schedules, projects, and administrative tasks with exceptional efficiency.
    • Exceptional Organizational Skills: Highly organized, detail-oriented, and capable of managing multiple projects simultaneously, with exceptional time management abilities.
    • Proactive and Resourceful: Able to anticipate needs, identify potential issues, and take initiative to find solutions.
    • Excellent Communication Skills: Impeccable written and verbal communication skills, with the ability to interact effectively with stakeholders at all levels.
    • Discretion and Professionalism: Ability to handle sensitive information with confidentiality and maintain the highest level of professionalism.
    • Tech-Savvy: Proficient in Google Workspace (Docs, Sheets, Slides), calendar management tools, and other relevant software, and willing to learn new systems.
    • Independent Worker: Demonstrated ability to work independently and manage multiple deadlines in a fast-paced working environment.
    • Adaptable and Flexible: Able to adapt to changing priorities and handle a wide range of tasks with a positive and flexible attitude.
    • Impeccable English Skills: Fluent in both written and spoken English, with excellent grammar and vocabulary.
