Role Summary:

We are looking for a highly organized and detail-oriented Client Services Officer with experience assisting Australian clients in an accounting firm setup. In this role, you will provide essential administrative and client support, ensuring seamless operations for our offshore clients. You’ll handle client onboarding, manage databases, process regulatory tasks, and assist with internal coordination to enhance service delivery.

Key Responsibilities:
  • Client & Offshore Administration Support
    • Assist in new client onboarding by setting up accounts, updating systems (XPM, TAP, NI), and saving documents.
    • Handle online booking admin tasks, including setting up jobs, saving ATO documents, and adding TR details.
    • Process ASIC ACS using NI and handle ATO phone calls.
    • Send mail using ATOmate, appointment confirmation emails, and Podiums.
  • Daily Internal Coordination
    • Prepare and distribute daily reports, such as "ready for invoicing" updates and email & DOB reports for marketing.
    • Post client birthdays and manage email communication.
  • Compliance & Documentation Management
    • Assist in preparing year-end, FBT, tax planning, and SMSF packages.
    • Save and organize scanned mail and other critical documents.
    • Maintain and update client details across databases (XPM, TAP, NI).
  • Project Assistance
    • Support various projects and database management initiatives as required.
Required Qualifications:
  • Minimum of 3 years of experience assisting Australian clients in an accounting firm setup.
  • Strong background in offshore administration support.
  • Familiarity with ATO processes, ASIC ACS, XPM, TAP, and NI is a plus.
  • Excellent organizational skills and keen attention to detail.
  • Strong written and verbal communication skills.
  • Ability to multitask and work in a fast-paced environment.
