Job description

This is a remote position.

Work Schedule: Monday-Friday; within client's business hours (Libertyville, IL time); 20 hours per week

Job Summary:
The ideal candidate should possess a strong and proven background in both an executive administrative assistant role and simple accounting clerk tasks. Experience with QuickBooks Online software is preferred. We are looking for a self-motivated, detail-oriented professional who has the availability to work remotely for 20 hour per week to start. Work times are flexible. The ideal candidate will be available during US daytime work hours to collaborate with others working in the U.S.

The position will handle the following activities as needed. Primary responsibilities include:

Main Responsibilities:
 Handling Accounts Receivable (AR), including:
 Review of client billing
 Posting client payments and adjustments
 Collaboration with client billing staff on necessary corrections and changes
 Collections activity for past due accounts
 Client calls with billing questions
 Accounts Payable (AP), including:
 Vendor invoice entry
 Payment transactions via multiple payment solutions
 Payroll, including:
 Push of approved pay records to the payroll system
 Management of payroll reporting
 Benefit payments approval and processing accurately
 Advance payments processing and monitoring (Tapcheck)
 Administrative/Office Duties
 Organizing and filing documents remotely
 Handling special projects as required
 Maintaining confidential files

Requirements
 At least three years of executive admin experience in a US work environment.
 Bookkeeping training or education is a plus.
 Experience with QuickBooks Online
 Proficient in Microsoft Office Suite
 Computer equipment and internet access capable of online meeting participation and connectivity to software, servers, and data storage tools.
 Strong organizational skills; ability to schedule and accomplish assigned tasks in a timely manner
