Summary of Job Duties:
The Program Manager serves as the lead administrative support for the Department of Pediatrics, Division of Allergy and Immunology (A/I). Primary responsibilities include supervision of the section staff, working with budgets and purchasing in the section, and leading HR related issues with team. This position will report to the section Practice Director. The position is located on the Arkansas Children’s Hospital Campus in Little Rock, Arkansas.

Qualifications:

Bachelor’s degree in business, finance, accounting or related field plus four (4) years of finance and project/program management experience required.


Additional Information:

Responsibilities:

  • Assist the chief and senior faculty members for administrative needs such as calendar management, travel, promotion and tenure submissions, annual certifications, licensing, hospital credentials, other recurring reports/certification, and liaison for networking with other institutions and national organizations engaged by faculty.

  • Coordinates daily administrative activities which include maintaining chief’s calendar, faculty calendars, scheduling meetings and conference calls.

  • Assist with faculty development reports, annual reports, credentialing and FACFACTS.

  • Maintains up-to-date curriculum vitae and biosketches.

  • Coordinates all faculty recruits including creation of itineraries, assisting with travel and hotel accommodations and reimbursement.

  • Responsible for faculty and staff onboarding.

  • Works as liaison with UAMS, ACH and ACRI administrative staff.  

  • Works as liaison with media services for research related activities, special publications, interviews, and website/social media.

  • Assists Section Chief, Practice Director, and Peds Finance with budget related issues during the fiscal year and prepares for the next fiscal year.  

  • Maintains budgets regarding all items hitting the accounts, manages all blanket purchase orders, follows-up any outstanding invoices or balances.  

  • Reviews, analyzes and reconciles faculty discretionary accounts.

  • Reviews and reconciles monthly budget reports.

  • Pays invoices and renewal of subscriptions or professional memberships.  

  • Directs purchases through various accounts.  

  • Orders equipment and office supplies as approved by the Practice Director and Section Chief.  

  • Manages section assets and maintains up to date records.  

  • Organizes office moves as necessary when new faculty are hired.  

  • Oversees A/I staff and performs general office management, including HR management of staff.

  • Checks clocking times daily in KRONOS.

  • Oversees employee’s job duties and approve additional task as needed by the sections’ clinical staff.

  • Maintains PCQ’s for all A/I staff positions, submits PCQ for posting of new or replacement positions and approve.

  • Reviews and selects applicants, interviewing/hiring of applicants, request salary and complete onboarding of employee.  

  • Responsible for completion of the 90-day evaluation for new employees and submission to HR, as well as other communication with HR regarding staff.  

  • Approves leave in Workday and completes appropriate clinic modification.

  • Assists faculty with yearly evaluations of ACH employees.

  • Contacts person for calendar and folder access on the A/I share drive.

  • Requests ACRI building access and keys for staff, students, residents, and fellows.

  • Contacts person for UAMS provider enrollment questions and MCD forms to be completed. 

  • Cross trains and provides backup for administrative staff.

  • Assists with special projects as assigned, attends monthly staff meetings and training workshops.

  • Maintains/drafts agenda and presentation materials for monthly office meeting; schedule division office meetings. 

  • Performs other duties as assigned.
