Location: Remote (Telework) – Designated location: Austin, TX.

Job Type: Full-Time

Annual Salary Range: $30 to $60 per hour

INTECON, LLC is seeking a motivated and detail-oriented Administrative Specialist to support the AFWERX Program Divisions. This role provides administrative, operational, and workflow management support across AFWERX Divisions, Branches, and Sections, ensuring efficient coordination, documentation, and communication. The selected candidate will be responsible for developing reports, scheduling, and maintaining organizational workflows while supporting the execution of critical program functions.

Roles and Responsibilities:

The Administrative Specialist will:

  • Provide administrative and operational support for Divisions, Branches, and Sections across AFWERX.
  • Assist with workflow and project management, utilizing tools such as Smartsheets, Google Workspace, and Microsoft Office 365.
  • Develop and process various reports, written communications, and briefing materials for coordination, review, and finalization.
  • Create visual communication products such as 1-pagers, infographics, and social media posts tailored to division-specific needs.
  • Support organizational calendar management, coordinating meetings, events, and taskings.
  • Assist in travel coordination, ensuring proper documentation, approvals, and scheduling.
  • Oversee electronic records management, ensuring compliance with federal and DoD documentation requirements.
  • Facilitate meeting coordination, including agenda preparation, note-taking, and action item tracking.
  • Support digital enablement of surveys and data collection efforts to streamline program effectiveness evaluation.
  • Provide customer service and front-desk support at AFWERX locations, acting as a point of contact for internal and external stakeholders.

Qualifications:

Education: Bachelor’s degree in Business Administration, Communications, Public Administration, or a related field.

Experience:

  • 3+ years of experience in administrative support, project coordination, or workflow management in a federal, DoD, or defense contracting environment.
  • Experience using workflow and project management tools such as Smartsheets, Microsoft Office 365, and Google Workspace.
  • Ability to synthesize and format talking points, briefings, presentations, and meeting notes into concise communication deliverables.
  • Strong writing, editing, and document preparation skills, with the ability to tailor content for executive-level audiences.
  • Proven experience in event and travel coordination, ensuring seamless scheduling and logistical support.
  • Demonstrated ability to develop visual communication products, including infographics, marketing materials, and social media content.
  • Experience managing electronic records and documentation, ensuring compliance with federal information governance policies.
  • Strong organizational and time management skills, with the ability to prioritize multiple tasks and competing deadlines.

Certifications and Training:

Preferred certifications:

  • Certified Administrative Professional (CAP)
  • Microsoft Office Specialist (MOS)
  • Google Workspace Certification

Proficiency in:

  • Microsoft Office 365 (Excel, Word, PowerPoint, Outlook, SharePoint)
  • Google Workspace (Docs, Sheets, Slides, Drive)
  • Smartsheets, Adobe Acrobat, and other document management tools

Specialized Training in:

  • Federal Records and Document Management
  • DoD Administrative and Operational Policies
  • Project Coordination and Workflow Optimization

Security Clearance:

Active Secret Clearance required, with the ability to obtain Top Secret (TS/SCI) if needed.
