Overview:

As a Senior Meeting Planner at Revvity, you will be responsible for managing and coordinating the logistics for all company meetings, events, and conferences. You will play a key role in ensuring that all meetings are executed seamlessly, while also overseeing the management of corporate gifting and company stores. Your role will require a balance of attention to detail, creative problem solving, and excellent communication with both internal and external stakeholders. This is fully remote role and expected to travel to event locations as needed (may include some overnight travel including domestic and international travel).

Key Responsibilities:

Meeting and Event Planning

  • Plan, coordinate, and execute corporate meetings, events, conferences, and off-site activities, both in-person and virtual.
  • Collaborate with various departments to understand event objectives, attendee needs, and company goals.
  • Develop and manage event budgets, ensuring events are completed within financial parameters.
  • Identify and manage relationships with vendors, including venues, catering services, technology providers, and other event-related services.
  • Negotiate contracts and terms with vendors to ensure the best services at the most cost-effective pricing.
  • Coordinate logistics such as transportation, hotel accommodations, meeting space, and technology requirements.
  • Oversee the preparation of event materials such as presentations, attendee packages, agendas, and other necessary items.
  • Ensure timely event execution and seamless transitions from planning to post-event follow-up.
  • Collect feedback from attendees to assess event effectiveness and implement improvements for future events.

Company Store and Gifting Program Management

  • Oversee all aspects of the corporate gifting program.
  • Coordinate the selection, purchasing, and distribution of gifts for clients, partners, and employees for key events, holidays, and milestones.
  • Collaborate with departments to ensure gifts align with company culture, values, and branding guidelines.
  • Research and propose new gifting options that align with company values and help strengthen relationships with stakeholders.
  • Manage and maintain the company store, which offers branded merchandise for employees!
  • Oversee the development and update of the store’s catalog, ensuring the selection of items is aligned with company brand guidelines and employee preferences.
  • Coordinate orders and shipping of merchandise, ensuring timely delivery for events.

Collaboration and Communication

  • Serve as the primary point of contact for all internal and external stakeholders involved in meetings and events.
  • Work closely with senior leadership to understand company goals and align event and gifting programs with business strategies.
  • Provide regular updates on event planning status, budget tracking, and gifting program progress.
  • Coordinate with marketing and communications teams to ensure alignment on event messaging, branding, and promotional materials.

Continuous Improvement

  • Stay informed of the latest trends and best practices in meeting planning.
  • Identify opportunities for process improvements that will enhance efficiency, cost-effectiveness, and attendee satisfaction.
  • Develop and implement strategies to streamline event processes, improve client satisfaction, and optimize gifting strategies.

Basic Qualifications:

  • Bachelor’s degree AND
  • Minimum of 5 years of experience in corporate event planning, meeting management, or related field.

Preferred Qualifications:

  • Strong project management skills with the ability to prioritize and manage multiple projects simultaneously.
  • Excellent communication, negotiation, and vendor management skills.
  • High attention to detail and ability to solve problems creatively and proactively.
  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and event management software.
  • Ability to work independently and collaboratively within a team environment.
  • Excellent organizational and time management skills, with the ability to work under pressure and meet tight deadlines.
  • A passion for creating memorable experiences and a strong commitment to customer satisfaction.
  • Experience with Cvent a must.
  • Knowledge of virtual event platforms and online meeting coordination.
  • Experience in budget management and financial oversight for large events.

Physical Requirements:

  • Ability to travel to event locations as needed (may include some overnight travel).
  • Ability to work extended hours during event days or peak planning periods.
