Job description

Conversant Group is an IT infrastructure and security consulting company based in Chattanooga, TN. We have provided technical, organizational, procedural, and process consulting services internationally since the company was formed in 2009. Unlike many IT security companies, Conversant Group has a unique perspective: technology is a tool, nothing more. Technology should support business, and the business should support the people.

About this position
The IT Contracts and Billing Specialist works closely with representatives from Sales, Customer Success, Implementation, IT Managed Services, and Finance in support of Conversant Group's clients. In this position, you are responsible for owning all aspects of IT service contract processing, including timely data entry and communication with internal stakeholders. The role requires a deep understanding of the order-to-cash process along with detailed experience of CPQ processes such as order and contract management.

Given every closed contract and project crosses your desk, and due to the nature of our operations, there may be instances where responsibilities extend or occur outside of normal business hours. This position reports to the Sales Operations Manager and is a part of the Operations Team.

Key Responsibilities:

  • Create and manage client contracts and projects in our billing system, including auditing and adjusting existing contracts
  • Coordinate with internal stakeholders (including C-Level executives) to clarify and gather missing information or resolve ambiguous information for new contracts and projects
  • Track financial milestones in contracts, such as COLA, and service consumption / true-ups
  • Ensure accuracy and timeliness of information to the Billing Department for customer invoicing
  • Deploy managed software licensing based on client and internal orders
  • Engage with managed software licensing vendors to resolve disputes and clarify contract specifications
  • Support monthly, quarterly, and fiscal year-end close processes, ensuring accuracy in reporting and timely completion of tasks
  • Deliver enablement and training on order-to-cash and clean booking best practices
  • Ensure compliance with federal, state, and international regulations, especially ITAR (International Traffic in Arms Regulations) and EAR (Export Administration Regulations)
  • Assist the IT Purchasing and Logistics Specialist, when necessary, with efficient and accurate processing of equipment and related software / licensing renewal orders
  • Advise on enhancements to existing processes as business scales
  • Additional requirements as the job function matures

  • Preferred Skills and Qualifications:
  • Bachelor's degree in Accounting, Business Administration, Finance, or a related field
  • 2+ years of experience in a finance, purchasing, procurement, operations, or related role
  • Knowledge of IT and Cybersecurity services preferred
  • Proficiency in using CRM and PSA systems (e.g., Salesforce, ConnectWise)
  • Proven experience in processing complex service contracts in a fast-paced environment
  • Strong understanding of sales processes, pricing strategies, and contract management
  • Excellent analytical, problem-solving, and project management skills
