Job description

Position details: Full Time Contract (up to 12 months)

Position Summary

The Federal Funding Programs Coordinator is an administrative role responsible for supporting the Funding Program Management Team through general team support and administration to optimize delivery of NCC’s federal partnerships. The Coordinator reports to the NAWCA Program Manager and works closely with the entire Funding Program Management Team to support North American Wetlands Conservation Act (NAWCA), Natural Heritage Conservation Program (NHCP), Parks Canada Landscape Resiliency Program (LRP), and other funding programs as needed. Responsibilities include the overall collection and tracking of funding program data and progress, organizing and maintaining program documentation, and support in reporting and data requests. The Coordinator is highly organized and experienced in data management, with great problem-solving skills and a keen eye for detail.  

Key Responsibilities

A. General support for Federal Funding Programs  

  • Attend monthly Pipeline meetings and keep the Securement Pipeline up to date with information for NHCP, NAWCA, LRP and other federal grants such as Nature Smart Climate Solutions and Challenge Fund projects. 
  • Assist in data requests and summary reports for funding programs as requested by NCC staff, the Government of Canada, or US Fish and Wildlife Service. 
  • Produce queries, add or retrieve documents, and ensure proper tagging is in place for projects within applicable systems. 
  • Organize, maintain, and update Federal Funding Programs Daisy pages and program documentation including guidance documents and reporting documents. Ensure proper filing, version control, and accessibility of records. 

B. Support coordination of NAWCA Program  

  • Gather, organize, and maintain program documentation including project documents (appraisals, closing documents), modification requests, award documents, and grant administration guidance documents. 
  • Work with Regional Conservation staff and Regional Controllers to complete quarterly updates to tract reporting and collect project appraisals for submission to USFWS for project pre-approval. 
  • Submitting quarterly North American Waterfowl Management Plan (NAWMP) National Tracking System (NTS) reporting with the help of National Finance and ECCC staff. 
  • Assist with data requests from USFWS. 
  • Review annual and final reports and assist with submission through Grant Solutions if necessary. 
  • Assist with the development and maintenance of new NAWCA data management tools. 

C. Support for Natural Heritage Conservation Program 

  • Review conservation project summaries, update project tracking sheets and complete quarterly data reviews. 
  • Assist with workback schedules and annual financial audits when necessary. 
  • Support in production of reports and gathering project or program data from various NCC data management systems as required. 
  • Assist with annual reports, work plans, and other program outputs. 

D. General Funding Program Management Team (FPMT) support 

  • Develop, organize, and maintain FPMT calendar with program deadlines and important events. 
  • Coordinate meetings and handle rescheduling when necessary. 
  • Record meeting notes and provide data summaries to applicable staff. 
  • Assist in proofreading, sending emails, and drafting documents and bulletins on behalf of the team. 
  • Complete invoices, revenue forms, and Tenrox guides as necessary. 
  • Prepare translation requests. 
  • Assist with ad hoc requests. 

Position Requirements

Competencies Required/Preferred:

  • Advanced knowledge of MSExcel including pivot tables, filters, formulas, function and complex linked worksheets;
  • Experience in PowerBI
  • Strong attention to detail and accuracy;
  • Creative problem-solving skills, ability to make decisions using sound judgement; knowing when to elevate issues to the Federal Programs Manager;
  • Well-developed communication skills, written, verbal, listening;
  • Proactive – the ability to anticipate and plan for future needs by supporting and coordinating with multiple team members
  • Strong organization and time management skills – ability to prioritize multiple incoming tasks and deadlines
  • Ability to foster good working relationships with Regional and National staff to achieve success;
  • Basic knowledge of accounting;
  • Working knowledge of databases, particularly developing queries;
  • General knowledge and interest in conservation science, securement, stewardship, species at risk, species rankings, and NCC practices and processes;
  • Strong commitment to the cause and mission of the Nature Conservancy of Canada.
  • English required. French language an asset

Experience Required 

  • Post-secondary degree 
  • 2-4 years of practical experience in a nonprofit organization with emphasis on funding data management, financial data management, and analysis.
