Position Summary
The Medical Records Supervisor is responsible for modeling the Compassus values of Compassion, Integrity, Excellence, Teamwork, and Innovation and for promoting the Compassus philosophy, using the 6 Pillars of Success as the foundation. S/he is responsible for upholding the Code of Ethical Conduct and for promoting positive working relationships within the company, among all departments, and all external stakeholders. The Medical Records Supervisor plays a pivotal role in supporting the Medical Records Manager by overseeing order tracking processes, managing staff, and handling clerical tasks within the Medical Records department, including records requests. In collaboration with Revenue Cycle and Clinical departments, this role is crucial for ensuring the department's efficiency. Responsibilities encompass leading a team of Medical Records Specialists and Admins, ensuring precision, confidentiality, and organization of patient records, and actively collaborating with stakeholders to enhance record-keeping processes.
Position Specific Responsibilities
- Supervises and leads a team of Medical Records Admin and Specialist members, ensuring proper scanning of orders, notes, and correspondence, and monitoring staff productivity.
- Provides guidance, training, and support to ensure the team's efficiency and effectiveness.
- Mentors team members, contributes to performance evaluations, and handles counseling and disciplinary actions in collaboration with the Manager to foster individual and team development.
- Stays updated on policy changes and insurance guidelines to provide education for clinical teams, including Do-Not Send orders and merging of Add-On orders.
- Ensures compliance with HIPAA regulations and other healthcare industry standards in the medical records department.
- Assists in monitoring Key Performance Indicators (KPIs) and productivity through daily EMR system reports in the Medical Records department.
- Develops and conducts training programs for medical records staff, keeping them informed about updated procedures, technologies, and compliance requirements.
- Collaborates with Pre-bill, Revenue Cycle, field clinicians, program leadership, and Growth teams as necessary to streamline communication and information flow related to medical records.
- Conducts team meetings for the Medical Records department and relevant Growth team members.
- Oversees the organization and maintenance of patient records, ensuring completeness, accuracy, and compliance with regulatory standards.
- Oversees the use of Electronic Health Record (EHR) systems and other technologies, ensuring proper utilization and addressing any issues.
- Develops and manages work schedules for medical records staff, ensuring adequate coverage and timely task completion.
- Addresses and resolves conflicts or issues within the medical records department, promoting a positive and collaborative work environment.
- Addresses escalated inquiries related to medical records from healthcare professionals, patients, and external entities, maintaining a high level of customer service.
- Performs other duties as assigned.
Education and/or Experience
- High school diploma or GED required.
- Bachelor's degree preferred.
- At least two (2) years of experience in medical records management required.
- One (1) year of supervisory experience strongly preferred.
Skills
- Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.
- Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from leaders, team members, investors, and external parties. Strong written and verbal communications.
- Other Skills and Abilities: Ability to understand, read, write, and speak English. Articulates and embraces integrated healthcare at home philosophy. Excellent leadership skills and an understanding of general usage/functions of Home Care EMR systems. Good interpersonal and organizational skills.
Physical Demands and Work Environment: The demands of this role necessitate a team member to effectively perform essential functions. Adaptations can be made to accommodate team members with disabilities. Regular standing, walking, and manual dexterity are fundamental, along with the ability to lift and move objects up to 25 pounds. Visual acuity requirements include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus.
