Job Description: Tax Case Manager, Enrolled Agent or CPA

We are seeking a dedicated and detail-oriented Tax Case Manager, Enrolled Agent (EA), or Certified Public Accountant (CPA) to join our team. The ideal candidate will be responsible for managing tax resolution cases, maintaining clear communication with clients, and ensuring that all necessary tasks are completed to support the success of our clients. This role requires exceptional organizational skills, a proactive mindset, and the ability to work collaboratively in a fast-paced environment.

Key Responsibilities: Case Management

  • Prepare weekly Tax Case Status Reports to provide updates on progress.
  • Record case progress in appropriate software to maintain accurate records.
  • Complete onboarding checklists for new cases and clients.
  • Prioritize cases and tasks for EA or CPA review and action.
  • Monitor workflow and ensure cases are moving forward without delays.

Client Communication

  • Communicate with clients weekly to provide updates on case status and progress.
  • Receive and respond promptly to client phone calls, texts, mail, and other communications.
  • Assist in identifying when to disengage with a client and initiate the disengagement process under the supervision of a Manager.

Tax Resolution Support

  • Prepare for appeals hearings by organizing and presenting necessary information.
  • Collect financial information from clients to support casework.
  • Prepare various tax forms related to Tax Resolution, including but not limited to IRS Installment Agreements and penalty abatement requests.
  • Call IRS and state taxing authorities (e.g., FTB) to set up Installment Agreements.
  • Write penalty abatement letters to advocate on behalf of clients.

Administrative & Organizational Duties

  • Organize and manage all case files and data to prevent errors and oversight.
  • Oversee quarterly FOIA reviews for each practitioner.
  • Organize and manage incoming mail, creating jobs and assigning tasks as needed.
  • Take responsibility for paper mailings related to tax returns over three years old.

Team Collaboration & Assistance

  • Assist other team members when help is requested.
  • Support in resolving urgent issues ("extinguishing fires") as they arise.
  • Be an integral part of selling new resolution engagements by reviewing transcripts, defining the scope of work, and guiding prospects through the sales process.

Tax Preparation

  • Prepare tax returns as part of case resolution.
  • Set up tax preparation jobs for cases assigned to the tax team.

Performance Metrics

  • Meet Key Performance Indicators (KPIs) on a weekly basis, including but not limited to sales and closed cases.

Qualifications:

  • Must be an Enrolled Agent (EA) or Certified Public Accountant (CPA).
  • Strong understanding of tax resolution processes, IRS policies, and state tax laws.
  • Excellent communication and interpersonal skills to work effectively with clients and team members.
  • Detail-oriented with strong organizational skills.
  • Ability to manage multiple cases and prioritize tasks effectively.
  • Proficient in using case management and tax preparation software.
  • Previous experience in tax resolution, appeals, and case management is highly desirable.
