Position Overview

  • Reports to Manager, Talent Acquisition Pre-Boarding. Responsible for ensuring a seamless and positive onboarding experience for all new employees within the Johns Hopkins Health System. Responsible for managing and coordinating of the onboarding process which includes occupational health screening, background checks, primary source on education and certification/licensure (if applicable), references and employment verifications. Ensures that staff are processed on a timely basis and entered into the HRIS system prior to start date.

  • 8:30 AM - 5:00 PM.

Pay Rate

  • $23.50 Per Hour.

Responsibilities

  • Creates, optimizes and facilitates the onboarding process from offer acceptance to start date adhering to standard work.
  • Welcomes new employee to the organizations and provides an overview of the pre-employment process within 2 days of receiving information from the Talent Acquisition Specialist.
  • Facilitates and monitors the onboarding process to ensure that key deadlines are met and all appropriate tasks are completed timely and thoroughly including offer letter, occupational health appointment, background check, primary source on education, and certification/licensure (if applicable) reference and employment verification checks.
  • Reaches out directly to Occupational Health if appointments are not available during the time frame needed.
  • Initiates and executes background check, Determines appropriate action and proactively follows up with candidate when there are challenges in verifying education, references, licenses, etc.
  • Acts as a liaison between newly hired Physicians and Advanced Practice Providers, the Credentialing department, and the Talent Acquisition Specialist, to ensure timely onboarding that adhere to all credentialing standards.
  • Completes I-9 forms accurately and processes information through e-verify.
  • Ensures data integrity through accurate use and documentation within Applicant Tracking System.
  • Ensures all information for new hire ISRs are complete and accurate. Enters all ISRs with 95% accuracy.
  • Ensures that all new hires are entered into SAP as they clear.
  • Ensures all new hires are consistently entered by the Wednesday morning prior to the start date.
  • Communicates with new hires and hiring managers that near hires are cleared to start.
  • Welcomes new hires at new employee orientation, answers questions and ensure that all attending orientation have been cleared to start.
  • Provides front desk coverage as needed.
  • Participates in committees and projects as needed.
  • When new systems/procedures are to be introduced, assist in the preparation of a training and/or transition plan in anticipation of any new procedures.
  • Maintains knowledge of, and complies with, all relevant laws, regulations, policies, procedures and standards.
  • Actively participates in creating and implementing improvements.
  • Partners with teams effectively to maximize performance, utilizing communication skills, facilitation skills, and knowledge of team dynamics and adapting to change.

Machines, Tools, Equipment

  • Advanced level of computer experience in word processing, spreadsheets, and database management. Computers, PC applications, phones, Xerox machine, Fax, Scanner.

Qualifications

  • Requires a minimum of an Associate’s degree. Bachelor’s Degree preferred.
  • Experience beyond the work experience requirement may be substituted for the degree on 2 years of experience for 1 year of education basis .i.e. 4 years.
  • Knowledge of hospital recruitment policies and procedures.
  • Thorough knowledge of office and administrative procedures and ability to organize and prioritize tasks normally acquired through two years related experience.
  • Demonstrated proficiency in the use of Microsoft Word & Excel Software /Data Entry
  • Strong office management, customer service, and communications skills.
  • Strong oral and written communication skills necessary to interact diplomatically with diverse groups of people, exchange information and produce written correspondence.
  • Effective management of projects, deadlines, and work load prioritizing
  • Demonstrated ability to exercise good judgment in handling sensitive and confidential information and situations.
  • Strong critical thinking skills and attention to detail in order to problem solve and/or triage issues.
  • Work requires the analytical skills to gather and interpret data in situations in which the information or problems are relatively routine.
  • Ability to work as a team member.
  • Minimum two years related experience.
