Your Role:
- Strategic Operations Coordination:
○ Oversee critical projects and initiatives, ensuring alignment with organizational goals.
○ Implement and enforce Standardized Operating Procedures for all administrative endeavours, communications, and data-driven tasks.
○ Liaise with external stakeholders to move administrative processes forward, including writing, editing and executing contracts and agreements, and preparing and providing briefings, presentations and documentation as required.
- Administrative Support and Liaison:
○ Manage calendars and workflows for Company Executives, prioritizing tasks for maximum impact.
○ Streamline filing systems, maintaining organized and up-to-date records.
○ Manage Company tools and softwares as a Super Admin, ensuring optimized utility and assisting departments as needed with training and troubleshooting.
○ Prepare materials and briefings for executive meetings, ensuring effective communication in support of executives making optimal decisions quickly..
- Business Development and Marketing Support:
○ Manage and oversee consistent strategic sales and business development follow-up cycles
○ Procure and qualify sales leads through various platforms and marketing channels.
○ Assist marketing team with managing online presence where robust documentation is required.
○ Support the Business Development team by setting appointments, following up with Prospects, and updating CRM data.
- Facilitator of Communication:
○ Draft and disseminate internal communications, including announcements, updates, and key messages.
○ Serve as a point of contact for inquiries and information requests from internal and external stakeholders, promoting strong and beneficial relationships, especially with Suppliers.
○ Create and maintain communication channels to ensure transparency and information flow.
○ Develop communication strategies to convey the organization's vision and values.
Qualifications
- A Bachelor’s degree in a relevant field.
- 5-10 years of experience in administrative management or operations, ideally in a staffing, HR, or service-oriented industry.
- Proven expertise in project management, business development, and communication.
- Strong proficiency with business software, including CRM, project management tools, and executive support systems.
- Leadership and interpersonal skills, with a focus on team coordination and cross-departmental collaboration.
