Job description

Role Summary

Our client is seeking a proactive and detail-oriented Personal and Administrative Assistant to support daily operations and ensure seamless organization across key tasks. The ideal candidate is highly organized, tech-savvy, and capable of juggling multiple responsibilities efficiently.

WORK SCHEDULE: TBD - Pacific Standard Time, follows Philippine holidays. night/early morning PST time

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

Essential Functions

  • Perform the following financial and reporting support tasks:
    • Manage invoicing and expense reports, ensuring accuracy and timely submission
    • Create and update monthly sales reports for clients, including key metrics and performance insights
  • Perform the following sales and event coordination tasks:
    • Assist in organizing sales trips and events by researching venues, accommodations, and transportation
    • Prepare detailed options for review and ensure timely coordination of logistics
  • Perform the following CRM and sales activity management tasks:
    • Update and maintain accurate information in the CRM system
    • Log sales activities and milestones to ensure records are up-to-date
    • Assist with client follow-ups and manage client lifecycle processes as requested
  • Perform the following social media and marketing support tasks:
    • Assist with basic social media management, including drafting posts and content calendars
    • Create draft marketing pieces such as newsletters, client updates, or presentations for review
  • Perform the following general administrative tasks:
    • Manage calendars, emails, and task reminders to ensure smooth operations
    • Provide additional support for ad hoc projects and administrative needs as they arise
Qualifications

  • A Bachelor’s degree in the related field is preferred
  • Experience in a multi-client environment
  • Strong computer aptitude, which includes expertise with Microsoft 365 applications
  • Strong organization, oral and written communication skills
  • Analytical skills with particular attention to detail
  • Aptitude in data management, analytics, reporting preparation
  • Ability to function in an autonomous environment—independent worker, self-directed
