The Opportunity:

The Executive Assistant must be highly organized, proactive, and detail-oriented. The role of the executive assistant is to support the Founder/CEO of our wound care company. The ideal candidate will possess exceptional communication skills, a strong ability to multitask, and a deep understanding of healthcare operations. This role requires the ability to manage a variety of administrative tasks, assist in operational efficiency, and ensure smooth day-to-day operations in a dynamic and fast-paced environment.

This position is remote and offers you the flexibility of working from home.

Your responsibilities will include:

Executive Support:

  • Provide high-level administrative support to the CEO by managing their calendar, scheduling meetings, and organizing appointments.
  • Prepare materials and agendas for meetings, ensuring the CEO is fully briefed and equipped for all engagements.
  • Coordinate and prioritize communications, including emails, phone calls, and correspondence on behalf of the CEO.
  • Handle confidential information with discretion and professionalism.

Operational Assistance:

  • Collaborate with the CEO on operational projects, providing research, data analysis, and reporting as needed.
  • Assist in organizing and coordinating internal and external meetings, training sessions, and special projects.
  • Prepare and edit documents, presentations, and proposals related to the operational activities of the company.

Project Management:

  • Coordinate cross-functional projects involving multiple teams and stakeholders to ensure that deadlines are met and deliverables are achieved.
  • Assist with the creation of processes, policies, and standard operating procedures to streamline operations.

Team Coordination:

  • Serve as a liaison between the CEO and other departments, fostering collaboration and ensuring effective communication.

Client and Vendor Relations:

  • Assist in managing relationships with external partners, vendors, and clients.
  • Coordinate service contracts, agreements, and follow-up communications to ensure the smooth execution of services.

General Administrative Tasks:

  • Handle travel arrangements, expense reports, and billing for the CEO.
  • Maintain office supplies, equipment, and facilities as needed for operational efficiency.
  • Perform additional duties as assigned to ensure operational excellence and organizational growth.
    Qualifications:

      Education and Experience:

      • Bachelor’s degree in business administration, healthcare management, or a related field (preferred).
      • Minimum of 3 years of experience in an executive assistant role, preferably in the healthcare or home health industry.
      • Strong knowledge of healthcare regulations and operations in the home health field is a plus.

      Skills and Competencies:

      • Exceptional organizational and time-management skills with the ability to manage multiple tasks simultaneously.
      • Strong written and verbal communication skills, with attention to detail and clarity.
      • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
      • Ability to maintain confidentiality and handle sensitive information with professionalism.
      • Strong problem-solving and critical-thinking skills.
      • Ability to work independently and as part of a team in a fast-paced environment.
