Job description

The Virtual Executive Assistant will provide high-level administrative support to the executive leadership team. This role involves managing email correspondence and transforming them into actionable tasks, coordinating schedules, meetings, and events, and preparing agendas, reports, and minutes. The assistant will oversee task tracking, project planning, and follow-ups to ensure timely progress and completion.

Acting as a liaison with internal and external stakeholders, the assistant will draft correspondence and manage sensitive information with the utmost confidentiality. The role includes maintaining an organized system of digital files and documents, conducting research, preparing presentations, arranging travel, and processing expense reports.

The assistant must demonstrate excellent organizational, multitasking, and communication skills, with the ability to work across time zones and adapt to changing priorities. Occasional in-office attendance in Metro Manila will be required for key meetings or events.

The main responsibilities of a Executive/Virtual Assistant include:
  • Manage and prioritize email correspondence, turning them into actionable tasks.
  • Organize and maintain the executive team’s schedules, meetings, and events.
  • Prepare agendas, minutes, and reports for meetings.
  • Track deliverables and assist with project planning and execution to ensure timely completion.
  • Act as a liaison between executives and internal/external stakeholders.
  • Draft and manage correspondence while handling sensitive and confidential information.
  • Maintain an organized digital filing system and ensure accessibility of key documents.
  • Conduct research and prepare presentations as required.
  • Arrange travel, accommodations, and process expense reports.
  • Provide ad hoc administrative support to ensure efficient operations.
