Job description

LTS is seeking a Group Event Coordinator (GEC) to plan, organize, and execute events designed to support program objectives, including training sessions, conferences, workshops, and outreach initiatives. The role requires expertise in event planning, logistics coordination, and stakeholder engagement to ensure successful events that advance the program’s mission to enhance remote healthcare delivery and operational readiness.

Duties & Responsibilities

  • Coordinate the Contractor’s delivery of personnel, equipment, supplies, and utilities for all group events.
  • Ensure Contractor personnel on-site at group events are properly trained and equipped to effectively perform their duties.
  • Serve as the Point of Contact (POC) to address issues, problems, emergencies and provide necessary information at scheduled group events.
  • Develop event objectives, agendas, and schedules in collaboration with program leadership and stakeholders.
  • Coordinate event logistics, including venue selection, virtual platforms, equipment, and materials.
  • Liaise with leadership, personnel, contractors, healthcare providers, and external partners to align event goals with program priorities.
  • Foster relationships with vendors, contractors, and service providers to ensure seamless event execution.
  • Prepare and manage event budgets, ensuring cost-effective use of resources.
  • Oversee procurement of event supplies, catering, and services in compliance with DoD regulations.
  • Track expenses and reconcile invoices post-event.
  • Develop and distribute promotional materials, invitations, and event announcements.
  • Utilize social media, email campaigns, and other channels to maximize event visibility and participation.
  • Draft post-event summaries, reports, and feedback analyses for program leadership.
  • Manage on-site and virtual event operations, ensuring all components run smoothly and on schedule.
  • Address real-time challenges and provide solutions to ensure participant satisfaction.
  • Oversee post-event evaluations to assess outcomes and identify areas for improvement.
  • Ensure events comply with federal, DoD, and DHA policies, including security, accessibility, and privacy standards.
  • Maintain detailed records of event plans, budgets, and participant data for auditing and reporting purposes.

Required Skills & Qualifications

  • Bachelor’s Degree in event management, public relations, communications, or a related field plus five years of recent (within the past 15 years) operations and planning experience with at least three of the five years dedicated to military healthcare.
  • Proven ability to manage multiple projects and deadlines in a dynamic environment.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency in event management tools, virtual platforms (e.g., Zoom, Microsoft Teams), and office software.
  • Familiarity with federal or DoD procurement and contracting processes.
  • Experience with military or government events is preferred.
