The Role
As a CRM Operations Specialist you’ll be responsible to keeping a number of CRM processes running efficiently. You will work a lot in excel, some in google sheets, and will keep complex processes and steps organized and tracked. You will also keep folders and versions of files up to date and tidy. In addition to maintaining daily operations running smoothly, you will identify improvements to processes and conduct research on new solutions.
What You'll Do
- Data Management - Maintain a schedule of data being pulled from various sources, along with forecasting needs and costs, and performing investigations.
- Enrichment - Rigidly track status updates on data enrichment batches, QA’ing results.
- CRM Ingestion - Get data ready for CRM import and work through errors.
- CRM Sanitation - Keep our CRM tidy, removing duplicates, merging records, refining row information and taxonomy.
- Lead Assignment - Get leads assigned out to team following requirements and improving upon them.
- Documentation Updates - Keeping internal docs and sheets up to date with important data.
Qualifications
- What We’re Looking For
- Fitness Enthusiast: You’ve worked in a fitness studio and understand the ins and outs of studio software (bonus if you’ve used Arketa or MindBody).
- Data Diligent: You’re able to maintain a steady focus on data tasks that require accuracy and paying attention to details like which step of a complicated process you are in.
- Spreadsheet Savvy: You’re an Excel and Google Sheets wizard. A master of pivot tables, VLOOKUPs, macros, if statements, and conditional formatting.
- Strong Communicator: You can easily connect with people, articulate ideas clearly in both written and verbal communication, and excel at building rapport.
- Grit & Determination: You’re someone who doesn’t shy away from the challenge of persistence and knows that each conversation, whether immediate or down the road, brings you closer to making a real impact. You thrive on connecting with people and are excited to overcome obstacles to drive results.
- Organized & Driven: You can manage multiple priorities—whether it’s tracking leads, emails, calls, or social outreach—and you’re resourceful in problem-solving to meet business needs. You’ll keep your work updated in hubspot and our sales software tools.
- Mission-Aligned: You’re passionate about wellness and excited to help fitness studios grow with Arketa’s innovative platform.
- Preferred Qualifications
- BA/BS degree preferred but not required.
- Strong working understanding of Hubspot, as this is the system we work in, or mastery of salesforce and can learn hubspot quickly.
- 1-2 years in a role that required extensive spreadsheet and CRM work.

Compensation
- $45-$80k base salary depending on experience and location in the world.
