Responsibilities of the Admin Support:

  • Administrative Support:
    • Calendar Management:
      • Manage the schedules of 10-12 doctors, understanding their individual preferences and availability
      • Coordinate and schedule in-person and virtual meetings to ensure seamless communication

    • Communication Management:
      • Act as a liaison through letters, emails, and phone calls, effectively communicating with injured workers, attorneys, and doctors
      • Gather necessary information to progress cases, including demographic details, contact information, injury specifics, medical records, and relevant case details
      • Provide support for virtual meetings by setting up Zoom links and other logistics

    • Medical Records and Documentation:
      • Ensure timely receipt and proper filing of all necessary documents, including medical records, case reports, and completed forms
      • Follow up on missing paperwork or incomplete forms to maintain case progress


    • Formatting and Data Entry:
      • Format documents such as reports and letters using tools like Microsoft Word and PDF editors
      • Enter billing information and other critical data into company systems with precision and efficiency
      • Prepare correspondence using the company letterhead to ensure a professional presentation

  • Relationship Management:
    • Doctor Relations and Retention:
      • Build and maintain strong relationships with the doctors, who are key stakeholders and clients of the company
      • Ensure a positive experience to encourage long-term retention and satisfaction among the doctors
