We help entrepreneurs free up their time by outsourcing their everyday, routine admin work like calendar management, email, customer service, and marketing tasks like social media, digital marketing, website management, etc. 

Position Overview:

We are looking for a proactive and experienced Executive Virtual Assistant (Team Lead) to manage and mentor a team of Virtual Assistants. The ideal candidate will have hands-on experience in admin tasks, customer support, bookkeeping, and social media management. This role requires a dynamic professional who can ensure team efficiency, foster a collaborative environment, and meet client expectations.

Key Responsibilities

  1. Team Leadership:

  • Supervise, guide, and support a team of Virtual Assistants to deliver high-quality service.

  • Conduct regular team meetings to address challenges, provide feedback, and share updates.

  • Monitor team performance and ensure timely task completion.

  • Task Management:

    • Delegate tasks effectively while maintaining high standards of quality and ensuring strict adherence to deadlines.

    • Provide hands-on support to team members in resolving complex issues related to admin tasks, customer support, bookkeeping, CRM management, e-commerce operations, social media, and other client-specific requirements.

  • Client Coordination:

    • Serve as the main point of contact for clients to ensure satisfaction and address concerns.

    • Oversee the seamless onboarding of new clients and alignment with team workflows.

  • Hands-On Execution:

    • Perform administrative tasks, including calendar management, email handling, and travel coordination.

    • Provide customer support, responding to inquiries and resolving issues efficiently.

    • Manage basic bookkeeping tasks, such as invoicing, expense tracking, and report generation.

    • Assist with social media tasks, including scheduling posts, creating content drafts, and monitoring engagement metrics.

  • Process Improvement:

    • Identify and implement process enhancements to improve team productivity and service quality.

    • Create and update standard operating procedures (SOPs) for routine tasks.

  • Training & Development:

    • Mentor team members to improve their skills in admin tasks, customer service, bookkeeping, social media management, CRM tools, e-commerce operations, and other skills tailored to client requirements and demands.

    • Conduct training sessions to ensure the team stays updated with industry trends, tools, and best practices, enabling them to meet evolving client expectations effectively.



    Requirements

    Qualifications

    • Proven experience as a Virtual Assistant with a minimum of 2 years in a leadership or senior role.

    • Expertise in admin tasks, customer support, bookkeeping, CRM management, e-commerce operations, basic social media, and client management.

    • Strong organizational, time management, and multitasking skills.

    • Excellent communication and interpersonal abilities.

    • Ability to handle client interactions professionally and with empathy.

    • Familiarity with tools like Google Workspace, CRM software, project management tools (e.g., Asana, Trello), and bookkeeping tools (e.g., QuickBooks, Xero).
