Position Overview:
Reporting to the Regional Director, Americas & EMEA and as an integral part of Questel’s IP Programs Team, this role is responsible for assisting in the management of the IP program managers and their teams in meeting client translation needs through actively communicating with the stakeholders, planning, scheduling, tracking and successfully delivering projects. By understanding clients’ business objectives, this role spearheads internal execution to ensure Questel’s services are delivered on time and with the utmost quality.
Principal Duties & Responsibilities:
- Manage a team of Program Managers through participating in hiring, training, performance management, leading and when necessary, disciplining
- Report performance and goals for the team
- Manage team resources and staffing including balancing workload, monitoring overtime, and resolving conflict
- Train and mentor team members
- Standardize, maintain, innovate, and improve processes related to team competency areas
- Train internal teams on Questel processes and standard procedures
- Champion IP programs’ needs with the appropriate representatives from the technology development teams to improve tools and systems
- Function as a liaison between other Questel business units to maintain and develop effective processes and documentation for subordinate teams
- Stand in for the Regional Director in case of absence or schedule conflicts as assigned
- Manage translation and other projects as required
- Develop a schedule for project completion that accurately allocates the correct resources to the project requirements
- As needed, review accounts and/or project schedules with senior management and all other staff that will be affected by the project activities; revise the schedule as required
- Monitor the progress of the project and adjust as necessary to successful completion
- Ensure translations follow national patent law requirements, including content, formatting, and filing deadlines
- Find ways to creatively meet occasionally tight but non-negotiable deadlines
- Establish a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the accounts and their projects
- Interface with clients to provide operational expertise and collaboration regarding their translation requirements
- Coordinate data collection, analysis, and audits to foster adherence to standard procedure and identify non-conformance for remediation
- Communicate effectively using appropriate communication tools and techniques
- Develop new and unique ways to improve operations of the organization
- Foster teamwork by working cooperatively and effectively with others to resolve problems, and make decisions that enhance organizational effectiveness
- Set priorities, develop a work schedule, and monitor progress towards goals
- Keep abreast of relevant industry and country laws and news, mentor and train others accordingly
- Work with product development to improve company proprietary software for accurately tracking the project lifecycle
- Work on special projects and other duties as assigned by management

Education and Experience: bachelor’s degree or equivalent work experience required. In addition, any combination of education, experience and training which provides the following knowledge, skills and abilities:
- Minimum of 2 years of project management experience required
- Minimum of 5 years of professional translations experience or other similar language industry experience required
- PMP certification preferred
- Strong leadership skills
- Experience in training and mentoring teams
- Excellent analytical, organizational, written, and verbal communication skills
- Advanced people skills and dynamic presentation skills
- Willingness to occasionally manage and deliver projects during non-standard hours
- Demonstrated skills in project management, negotiations and problem-solving
- Outstanding planning, scheduling, and coordination skills
- Ability to stay on task with minimal supervision and regularly report on progress
- Ability to effectively multi-task in stressful situations
- Proficient in Microsoft Office, advanced Excel skills a plus
- Ability to synthesize data for use in reporting and decision-making environments
- Ability to think creatively to solve problems
- Ability to work independently with minimal supervision and as part of a team
- Knowledge of patent filing requirements and timelines a plus
- Initiative-taking and willing to take initiative to complete assignments
- Participate in a culture of responsiveness to strengthen relationships and ensure the needs and time of others are met and respected
- Fluent in English
- Fluency in a second language, other than English, a plus
