Provides operational and project management support at the program team level to ensure teams work efficiently & effectively. The PC aligns with PML on scope of responsibilities to best support the program needs. This role is also key in promoting team culture and connection to encourage a transparent, collaborative, high-impact culture that contribute to the efficiency and success of the team.
Support Program Management Lead (PML) in facilitating GPT operations as aligned.
Schedules PST meetings, helps to develop the agenda, ensures pre-reads are shared in a timely manner on behalf of presenters, circulates meeting minutes. Tracks and follows up on action items & team decisions with GPT members. Maintains templates for agenda, minutes, action & decision logs. Sets up & drives the first/data collection steps of program management workshops (lesson learned, risk management etc) in alignment with PML. Provides formatting support to PML on strategic documents. Supports PML to organize on & offsite meetings including venue selection, reservations, invoices, external speakers... etc.
Financial Management:
Schedules major team alignment meetings for budget pressure testing. Supports PO, SAP processing and contract for the program level activities.
Information Management
Sets up and maintains SharePoint enabling organized data storage for GPT. Ensures data is stored in the right location & answers ad hoc questions by GPT members regarding where certain information is located.
Communication:
Supports PML to develop overarching GPT charter and PST charter, sets up & maintains communication channels enabling fast, efficient information flow in entire GPT (e.g, mailing lists, Teams channels, roster). Supports PML in regularly circulating relevant updates to GPT & other stakeholders (e.g, key milestones, timelines & due dates).
Team integration:
Supports onboarding process for program team members & collaborators by preparing orientation content as per PML guidance. Gives brief introduction of program SharePoint database to new members during onboarding. Answers ad hoc questions from team members. Manages offboarding for persons leaving the team (e.g., revoking Sharepoint access etc).
Team Culture:
Organizes team bonding events as directed by PML to foster a transparent, collaborative, high-impact culture that celebrates team successes. Engages GPT members informally & collects suggestions on improving ways of working, drives lessons learned sessions & proactively escalates any potential issues to PML in a timely manner.
