Position Overview:
The Project Coordinator plays a crucial role in supporting the project team by coordinating project-related tasks, communicating with both internal team members and external clients, and ensuring that projects are completed on time, within scope, and to client satisfaction. This position requires strong organizational skills, attention to detail, and the ability to work effectively across teams to maintain smooth project workflows. The Project Coordinator is responsible for delivering exceptional customer service, maintaining project documentation, and ensuring adherence to company processes and standards.


Key Responsibilities:

Communication & Client Management

  • Respond to internal and external communications within 24 hours.
  • Keep clients and team members informed of project progress, updates, and potential delays.
  • Relay any project blockers to the Project Team Lead for timely resolution.
  • Ensure clear, transparent communication using various channels (email, phone, meetings).

Customer Service & Client Satisfaction

  • Provide exceptional service by addressing client needs and maintaining positive client relationships.
  • Manage client expectations, achieving a client satisfaction score of 90% or higher based on post-project feedback.
  • Address minor client issues within 24 hours and escalate larger concerns to the Project Team Lead.

Team Collaboration & Task Execution

  • Collaborate closely with the project team to ensure smooth project flow and team alignment.
  • Support resource management, project documentation, and actively contribute during team meetings.
  • Complete assigned tasks accurately and on time, adhering to project requirements and quality standards.

Time Management & Prioritization

  • Manage multiple projects simultaneously while keeping track of deadlines and avoiding escalations.
  • Prioritize tasks efficiently to ensure timely completion and adherence to project schedules.

Problem-Solving & Decision-Making

  • Anticipate potential project-related problems and resolve them with minimal supervision.
  • Escalate more complex issues to the Project Team Lead with full details and proposed solutions.
  • Maintain a solution-oriented mindset and ensure minimal disruption to project progress.

Documentation & Reporting

  • Ensure that 100% of project-related documentation is organized, complete, and submitted before invoicing.
  • Maintain accurate records of project updates, changes, and issues, documenting them within 24 hours of occurrence.

Process Adherence & Budget Awareness

  • Follow established company processes and procedures for consistency across all project tasks.
  • Monitor project expenses, ensuring adherence to budget requirements.
  • Submit change orders and report any potential cost overruns in a timely manner.

Technical Proficiency & Digital Literacy

  • Utilize project management software and tools (e.g., Microsoft Office, Teams, SharePoint, NetSuite, FMPM) to track progress, manage tasks, and prepare reports.
  • Assist in tracking materials, negotiating with installers, and addressing logistical issues.

Professionalism, Integrity, & Initiative

  • Demonstrate professionalism in all interactions with clients and team members.
  • Uphold company values and contribute to a positive work environment through respectful communication and collaboration.
  • Proactively address potential issues before they escalate, ensuring smooth project workflows.

Professional Development & Continuous Improvement

  • Complete at least 20 hours of professional development annually in areas such as project coordination, technical skills, or customer service.
  • Apply newly acquired knowledge to improve daily work practices and project efficiency.

  • Commitment to continuous professional development, with a minimum of 20 hours annually in areas related to project coordination, technical skills, or management.
Salary Description
Up to $65,000/year
