Role Summary

We are seeking a Senior Operations Manager with a strong foundation in corporate strategy and operational leadership, ideally from a small agency environment (e.g., design, creative, or consulting agency). This role will focus on streamlining processes, enhancing client and team experiences, and supporting overall strategic initiatives. The ideal candidate will possess the skills to manage operational workflows, build client relationships, and lead efficiency improvements across the organization.

Key Responsibilities

Strategic Operations Leadership:

  • Define and oversee operational processes that align with business objectives, enhancing productivity and ensuring smooth execution across teams.
  • Partner with the CEO to translate strategic goals into actionable operational plans, driving forward the vision for Rubix’s growth.

Process Optimization

  • Design and implement systems that simplify workflows and reduce the time spent on repetitive tasks, enabling team members to focus on high-impact work.
  • Lead continuous improvement efforts to enhance client and internal processes, ensuring Rubix’s operations scale smoothly.

Client & Account Management Support

  • Act as a key point of contact for clients, ensuring expectations are met and relationships are nurtured for an outstanding client experience.
  • Support client onboarding and project delivery by aligning internal resources and providing clear communication to clients and teams.

Resource & Information Management

  • Organize and manage company resources, including Google Drive and project management tools, to ensure efficient information flow and accessibility.
  • Develop and maintain streamlined access to internal resources, facilitating easy collaboration and rapid decision-making.

Team Support & Efficiency

  • Identify inefficiencies, address bottlenecks, and implement systems that reduce administrative burdens for the team.
  • Collaborate with department leads to optimize resource allocation, ensuring the right support is available across projects.

Corporate Strategy Execution

  • Lead the implementation of strategic initiatives that support growth, such as refining client acquisition processes and enhancing service delivery.
  • Contribute to the agency’s long-term strategic planning, working with senior leadership to build systems that support scalable growth.

Talent Development & Onboarding

  • Support hiring and onboarding initiatives, helping to identify and integrate A-players who align with Rubix’s values and goals.
  • Foster a collaborative and high-performance culture through effective onboarding and resource alignment.

Required Experience

Corporate Strategy & Operations: 3-5+ years in an operations or corporate strategy role, ideally within a small agency or creative environment.

Client-Facing Experience: Skilled in managing client expectations and communications, fostering positive and lasting client relationships.

Technical & Project Management Tools: Proficiency with Google Suite, project management tools like ClickUp, and CRMs.

Team Leadership: Experience supporting and developing team members, creating alignment with organizational goals and promoting a positive team culture.
