Job description

Opal Group organizes live conferences catered to top executives and decision-makers across various industries. We provide high-quality events and information through unparalleled speaking sessions, workshops, and unique face-to-face networking opportunities.

The Meeting Planning Assistant helps to produce the logistics and program for events. This entry-level role manages all aspects of conference-related materials and works closely with the Marketing and Sales Departments, as well as support and operations staff.

Location: Remote 90%, Travel 10%

Type of Job: FT international consultant

Salary: 1000 per month.

Responsibilities include, but are not limited to the following: 
  • Establish and maintain relationships with key professionals, industry leaders, senior executives and media within relevant vertical markets.
  • Assist customers in a professional, service-oriented manner during execution of daily work and onsite at conferences.
  • Work with and support a cross-functional team on an ongoing basis to ensure successful operations of conferences.
  • Manage the coordination of internal Travel, Transportation and Shipping arrangements.
  • Manage the coordination of VIP Speaker Travel.
  • Liaise with speakers and sponsors to collect accurate and relevant information related to the website, conference brochures and mobile app (logos, firm descriptions, biographies, headshots, presentations and advertisements where applicable).
  • Coordinate conference mailings including notifications for hotel bookings, activity registrations, mobile app, printing materials deadlines, etc.
  • Create and edit conference mobile app, including sponsor ads, speaker biographies and speaker presentations
  • Manage registrations through databases.
  • Onsite preparation (travel, distribute badges, point of contact for clients)
  • Facilitate the organization and coordination of panel's discussions (for speakers) prior to the event
  • Manage client questions, inquiries and any customer service related issues or concerns
Requirements include:
  • Bachelor’s Degree
  • Excellent organizational skills
  • Strong interest in event planning
  • Proficiency with MS Word, Excel and Power Point
  • Strong analytical and critical thinking skills
  • Excellent ability to multi-task, prepared to work on at least 5 events at varying stages
  • Engaging, professional and diplomatic demeanor
  • Customer service focus
  • Superior oral and written communication skills
  • Time and priority management skills necessary to complete work within established time frames
  • Deadline and results oriented
  • Self-motivated and able to work both independently and as part of a team
  • Enthusiastic with a strong desire to succeed
  • Strong attention to detail
  • Experience in Salesforce is a plus
