Job Title: Transaction Administrator
Location:
Remote (PST Time zone)
Salary Range:
up to 2600 USD

Work Schedule:
Monday - Friday, 9:00 AM to 5:00 PM (PST)

Position Overview:

We are looking for a highly organized and proactive Transaction Administrator to support our Legal department's Transactions team. This role focuses on managing and organizing files, handling critical documentation, scheduling tasks, and ensuring entity compliance. The ideal candidate has strong communication skills, administrative experience, and proficiency in tools like Microsoft Office and, ideally, Monday.com or Hubspot.

Key Responsibilities:

  • File Management: Maintain and organize transaction folders, ensuring accurate naming and indexing.
  • Document Handling: Extract, upload, and create templates for Title Commitment documents.
  • Scheduling and Coordination: Calendar key dates, manage site visit schedules, and coordinate logistics for pickups and notary appointments.
  • Vendor Quotes: Source and track quotes for insurance and inspections, and update tracking spreadsheets.
  • Inspection Support: Provide documentation for inspections and manage delivery records.
  • Compliance: Perform monthly entity filing reconciliations and ensure compliance reporting.
  • Team Support: Assist the Legal Transactions team and coordinate with departments as needed.


Qualifications:

  • Administrative or clerical experience, ideally in a legal setting
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint)
  • Knowledge of Monday.com or similar project management tools preferred
  • Familiarity with Hubspot or other CRM systems is a plus
  • Strong English communication skills
  • Self-starter with process improvement skills
  • Excellent attention to detail and organizational skills to manage multiple priorities in a fast-paced environment
