About the role

We’re looking for an organised Personal Assistant to support our CEO, Nicolas, to help with the logistics of his move from London to New York. From finding him a place to live to setting up bank accounts and coordinating travel, you’ll make sure everything runs smoothly. In addition, you’ll be helping to manage our small but growing office at Hudson Yards. Working closely with leadership, you’ll support the daily running of the office helping us shape a vibrant and welcoming hub in New York.

What will you be doing?
  • Personal Assistant to the CEO:
  • Acting as Nicolas’ main point of contact on the ground in New York to coordinate personal needs
  • Assisting with personal administrative tasks, including opening bank accounts, managing personal appointments, and coordinating services as needed.
  • Conducting research and supporting the CEO with relocation logistics, including finding housing, setting up utilities, and managing any other moving requirements
  • Arranging and coordinating travel plans, accommodation, and other personal bookings in New York
  • Handling email correspondence
  • Handling diary management; both business and personal

  • Office management:
  • Performing day-to-day office management for the office, ordering and maintaining office supplies, and providing general administrative support to staff, and general support to visitors 
  • Liaising with building management and vendors to handle office maintenance, repairs, and improvements
  • Planning and coordinating team events, meetings, and entertainment activities to promote team engagement and morale
  • Working closely with the CEO and other leadership team members to support special projects and events
  • Coordinating with our People and Talent team to support onboarding for new hires in New York including desk setups and office tours

  • What experience are we looking for?
  • You’ve previously worked as a personal assistant or office manager
  • You have experience supporting C-level executives
  • You’ve worked in or supported a European team
  • You’re detail-oriented, with the ability to multi-task, prioritize and deliver in a fast-paced, dynamic environment
  • You’re forward-thinking and capable of managing your time well
  • You’re proactive and happy to wear multiple hats; you like solving problems
  • You're a dog-person!
