Job description

A research organisation requires a Financial Administrator to provide support to all teams in the business to ensure smooth running and seamless processes and improve company procedures and day-to-day activities. This ranges from office management to financial control. In-office Monday to Friday, afternoons work from home is possible for the right person. R20 000 - R25 000 per month gross.


Responsibilities:
 
Financial Control

Co-ordinate the daily, monthly and annual management of the company’s finances.

  • Ensure payroll & administration and statutory are completed.
  • Update management on weekly cash flow.
  • Maintain an accurate fixed asset register that records assets and depreciates them appropriately.
  • Maintain insurance and ensure that assets are annually assessed and are adequately insured.
  • Manage petty cash and basic office expenses.
  • Ensure that all debtors are invoiced, creditors and respondents are paid timeously. 
  • Ensure timely payments and strategies devised for overdue clients. 
  • Ensure there are adequate funds to cover monthly expenses.
  • File statutory returns such as SARS e-filing, VAT, EMP 201 and Workmen’s Compensation. 
  • Ensure that all company records and trademarks are up to date and appropriately filed. 
  • Motivate for cost savings, cost-effectiveness and compliance issues to ensure that the business runs efficiently and remains compliant. 
  • Maintain or cancel service providers who are no longer being used.
  • Proactive in updating and reviewing phone contracts and internet.
  • Ensure that the company constantly works at improving BEE level.
  • Legal – Check client NDA’s and keep record of client documents.

 

ADMIN MANAGEMENT

Assets and Stock Control

  • Keep control of all computers, phones and related equipment so that all assets are recorded, tracked and returned to the office on completion.
  • Order and keep track of stationery, electricity and kitchen sundries.

 

Maintenance

  • Ensure that damaged equipment is repaired and insurance paid.
  • Call out the appropriate service providers for the maintenance of IT, equipment, building security & maintenance that may need to be done.
  • Through the supervision of domestic staff, ensure that the office is clean and tidy and that the grounds are maintained. 

 

Office Management

  • Dispatch couriers so that documents are delivered on time.
  • Ensure alarm passwords are setup for new employees.
  • Working closely with the team to ensure that flight bookings and travel arrangements are executed within budget and balanced with any personal requirements.
  • Resolving IT issues and if it cannot be resolved, call out the appropriate service providers.

 

HR

  • Process a payroll on a monthly basis according to HR records.
  • Keep payroll and HR files on each staff member to ensure that all correspondence and statutory records can be referenced at any time.
  • Update company policies, documents, pay role changes, employment contracts.

CLIENT RELATIONSHIPS

  • Communicate with clients regarding payments, PO’s, invoicing, company billing details.
  • Foster a relationship that harnesses financial trust.
  • Devise strategies for overdue payments.

 

COLLABORATION AND CULTURE

  • Be in the know of what projects are happening, engage with team about the work.
  • Participate and support company celebrations, acknowledge achievements.
  • All to share work landed with everyone so all can learn from new methodologies and findings.
  • Bring a good energy to work.
