We’re looking for an Executive Assistant who can take charge and make a real difference in our day-to-day operations. You’ll be the go-to person for ensuring everything runs smoothly, from managing calendars to handling client coordination.

In this role, you will:

📅 Book appointments with attendees worldwide

📝 Take notes from calls and kick off action items, including some project management in ClickUp

🔗 Format references on articles we work on

🌐 Upload articles to WordPress

📞 Follow up with clients

✈️ Book travels

💼 Create invoices and perform basic bookkeeping tasks

🤝 Assist with human resource tasks

🔍 Manage subscriptions

🛒 Handle online purchases or cancellations

🛠️ Set up and troubleshoot calendar apps

🔎 Supervise external contractors like web designers and accountants to catch any mistakes

📝 Any other tasks essential for the operations of the company. 


Working Hours ⏰: You'll need to be available for a minimum of 3-4 hours of overlap with US time zones. Ideally, you’d have some flexibility as I’m always on the move!

Requirements

To excel in this role, you should have:

✅ Experience as an EA with American/Canadian companies
✅ A self-starter attitude with a strong sense of ownership
✅ Excellence in learning new complex software interfaces
✅ A passion for streamlining processes and creating SOPs
✅ An outside-the-box problem solver, with speed and attention to detail
✅ Strong English writing skills, free of typos

Brownie points for:

⭐ Ability to speak some level of Spanish

⭐ Background in natural health or marketing

We’re looking for someone who’s a self-starter, loves a challenge, and can follow detailed instructions. You’re quick to learn new software, enjoy streamlining processes, and always find ways to save time. You work independently, stay on top of details, and never need to be reminded twice.
