Project Administrator

As a member of the Admin team, you will work closely with our Project Managers, Project Coordinators and the rest of the project team to ensure that the administrative aspects of the project(s) are performed accurately and on time to support the execution of field operations.

The position will be based out of Port Hope, ON

What you will be doing:

  • Manage all incoming emails to central AP email including invoices, inquiries and statements on a daily basis
  • Distribute invoices to Admin team daily
  • Process cheques received from our controllers department and distribute as required
  • Process expense reports as they are received to verify and ensure accuracy
  • Correspond with suppliers and subcontractors as required
  • Provide other administrative support as required
  • Prepare subcontracts and subcontract documents
  • Maintain subcontractor documents to ensure all are up to date and valid
  • Process supplier and subcontractor invoices for payment
  • Assist sites with required documents for billings and client requirements
  • Other duties as required, including vacation coverage for other Administration staff

What We Are Looking For

  • Able to demonstrate a high attention to detail
  • Motivated and confident
  • Excellent verbal and written communication skills
  • Experience working in the construction industry considered an asset
  • Experience with Viewpoint Accounting System would be considered an asset
  • Intermediate level computer skills, including Microsoft Office
  • Able to demonstrate logical problem-solving skills to independently find solutions
  • Ability to work independently, with minimal supervision
  • Strong interpersonal skills and ability to build strong relationships
  • Strong time management skills, and ability to prioritize a broad range of time sensitive tasks
